This opportunity supports the day-to-day operations of a busy construction site within a global EPC contractor focused on the energy transition. The role is central to site administration, document control and coordination across site teams, contractors and head office, helping to maintain efficient project delivery and compliance. This position offers strong exposure to construction, engineering and infrastructure project activity in a fast-paced site environment.
Key Responsibilities
- Provide comprehensive administrative support to the Project Manager and wider site team.
- Act as the first point of contact for visitors, contractors and external stakeholders.
- Maintain site records, logs and registers, including personnel inductions and attendance.
- Coordinate meetings, site briefings and diary management for key stakeholders.
- Support site employees with training needs and help ensure e-learning is completed.
- Manage on-site administrative duties including IT requests, support tickets, PPE or clothing provisions and office space coordination.
- Ensure the site office remains fully operational, including supplies, equipment and facilities.
- Manage office consumables and coordinate IT and telecoms support where required.
- Support onboarding for new site personnel and contractors.
- Assist with travel requests and travel coordination for the project team.
- Manage and maintain accurate project documentation in line with company procedures.
- Ensure drawings, reports, permits and technical documents are correctly filed and version-controlled.
- Distribute updated project documentation to internal and external stakeholders.
- Support audits by maintaining document compliance and accessibility.
- Assist with administration of health and safety documentation, including inductions and training records.
- Maintain incident logs, permits and compliance documentation.
- Support site audits and help ensure records meet regulatory and company standards.
- Raise purchase orders and track deliveries to site.
- Process invoices and liaise with finance teams where required.
- Maintain records of site costs and administrative budgets.

Required Experience
- Proven experience in a site office administration role.
- Experience within construction, engineering or infrastructure projects.
- Experience working in a fast-paced site environment.
- Experience with document control systems and administrative processes.
Required Skills
- Strong organisational and multitasking skills.
- Proficiency in Microsoft Office, including Word, Excel and Outlook.
- Excellent communication skills with the ability to engage effectively with site teams and stakeholders.
- Strong capability in site administration, documentation control and coordination activities.
