What You Would Get To Do

The Senior Space & Service Coordinator (Sr. SSC) will consistently deliver exceptional service to our client through excellent operational and logistical facilities management. Along with other FIRST team members, the Senior Space & Service Coordinator will represent the FIRST brand on-site within a well-known tech company.

The Sr. SSC will focus on events with increased levels of host and/or client visibility, thus requiring in-depth knowledge of offerings and procedures, as well as the ability to communicate across organizational levels. The Sr. SSC role provides general knowledge support to the broader SSC team and serves as a subject-matter expert for the SSC Team Lead on assigned projects.

Your Contributions

  • Intake and assign any event request locally (and/or globally if needed), while specializing in VIP and designated campus events, in order to: provide strategic structure to event intake and optimize staff and space assignments
  • Act as a central point of contact between SMM and Premier spaces
  • Aptly apply knowledge of campus spaces and their booking policies in order to best support event requests, including but not limited to:
    • Space location (Building, Floor, Relation to other spaces)
    • Space configuration(s) maximum and minimum capacities
    • Approval requirements and applicable teams
  • Aptly apply knowledge of campus services and their corresponding workflows to ensure excellent service delivery to event hosts, including but not limited to:
    • Executive Events
    • Event Management
    • Event Production
    • Other service lines: Facilities, Catering, Security, etc.
  • Communicate effectively and in a timely manner any information received that could impact the performance of each stakeholder, while managing expectations
  • Ensure correct information is collected and collated to anticipate client Approval requirements, and internally recommend holistic solutions in order to streamline the Approvals process for both the clients and the event hosts
  • Partner with relevant stakeholders within FIRST to navigate complex approvals, strategically manage complex schedules and ensure information accuracy
  • Continuously seek and propose new ways to make the intake process more efficient
  • Support the SSC team through process, workflow and documentation updates
  • Support the Team Lead as necessary on various projects for the team
  • Use the relevant tools provided to ensure information input is correct and accurate at all times

What We Are Looking For

  • Must be fluent in English and German (written and spoken)
  • 1 to 2 years of experience in a similar role
  • Previous event operational or logistical facilities management experience
  • Excellent written and oral communication skills
  • Decision maker and problem solver with a collaborative/team-player attitude
  • Creative, solution-oriented and resourceful, team player
  • Adaptability to situations and ever-changing demands
  • Eye for detail, team continuity, and data management
  • Excellent time management and multi-tasking skills
  • Ability to learn complex softwares
