Senior Volunteering Coordinator

Location: Home-based, fully remote
Hours: 28 (Tues, Weds, Thurs, Fri)

You will need a professional office set up at home and advise us if equipment is needed

About Liberty Choir

Liberty Choir provides wrap-around support for prisoners and ex-prisoners, starting with weekly choir sessions in UK prisons. Sessions are led by professional musicians supported by a team of local volunteer singers. Liberty Choir is currently in 10 prisons with approximately 100 active volunteers visiting prisons every week. Volunteers also help ex-prisoners within their local communities, and some help raise funds for Liberty Choir. The charity is planning to expand into new prisons in new regions over the coming year and the number of volunteers will increase accordingly.

Job Purpose

Volunteers are at the heart of what we do. You will be part of the Operations team responsible for coordinating our work with volunteers, including recruitment, onboarding, training and support within a dynamic and growing charity.

Key Duties & Responsibilities

Volunteer Coordination

  • Work with the Prison Operations Manager and Music Team to ensure that Liberty Choir volunteering is accessible, inclusive, safe and enjoyable.
  • Develop clear guidance and processes to support the volunteer journey, from recruitment, to induction, day-to-day management and exit.
  • Continuously review and adapt workflow to changing prison security protocols and communicate with the Prison Operations Manager, Music Team and Volunteers.
  • Recruit new volunteers as required by Music Teams and interview applicants. The recruitment process involves informal discussion to establish suitability, full briefing on choir process, prison access, basic safety protocols in prison, vetting process etc.
  • Organise vetting (and re-vetting) for volunteers.
  • Organise key training and prison safety briefings for staff and volunteers, in conjunction with the Prison Operations Manager.
  • Provide point of contact for volunteers on issues arising such as vetting queries, problems using the vetting portal, taking a break, switching to a different prison etc.
  • Work with Prison Operations Manager to cover prison paperwork if musicians are away.
  • Work with Music Team to facilitate VIP visits to prisons.
  • Work with prison staff to arrange an escort for substitute musicians when there are no key holders, or confirm the attendance of volunteer key holders.
  • Maintain accurate records in the database (Beacon) with a record of volunteer training and vetting, compliant with GDPR protocols.
  • Manage Volunteering email inbox, responding to emails as appropriate.

Other Duties

  • Support and coordinate improvements to volunteer communications – including regular newsletters, volunteer page on website and role-specific updates / guidance.
  • Assist at staff & volunteer training sessions and events (usually in London).
  • Attend Friends & Family concerts in prison & assist with the smooth-running of the event.

Person Specification

Volunteer Coordination and Development

  • Experience of managing or leading volunteers.
  • Good understanding of volunteer motivations.
  • Proven ability to build rapport and relationships locally and nationally.

Safeguarding

  • Understanding of safeguarding principles and best practice, particularly in relation to vulnerable adults.
  • Confident handling and escalation of safeguarding concerns.

Office & Admin Skills

  • Demonstrable experience of CRM software (especially Beacon).
  • Excellent IT skills including highly proficient use of Excel, Word etc.

Personal Qualities

  • Strong alignment with the values, goals and objectives of Liberty Choir.
  • Excellent communicator in writing, in person, over the phone and remotely.
  • Confident interpersonal style comfortable with rejecting unsuitable candidates.
  • Ability to record large amounts of data and maintain strict confidentiality.
  • Ability to manage time effectively, prioritise workload and plan ahead.
  • Able to work under pressure and respond rapidly to changing needs.
  • Flexible and open to working occasional evenings and weekends.

Desirable

  • Knowledge & experience working in the criminal justice system, policing or law.
