Senior Wholesale Administrator – Maternity Cover

Contemporary Fashion Brand

We are seeking an exceptionally organised, analytical and commercially minded Senior Wholesale Administrator to join a contemporary fashion brand on a maternity-cover contract.

This is a pivotal role within the wholesale team, acting as the central link between Wholesale, Production, Finance, Merchandising, and Logistics. The successful candidate will ensure that orders, deliveries, reporting, and communication flow seamlessly across the business.

This opportunity would suit someone highly switched-on and proactive who enjoys working with data, identifying issues, and keeping multiple teams aligned. You will need exceptional attention to detail, strong reporting capabilities, and the confidence to take ownership in a fast-moving environment.

Key responsibilities

  • Act as the operational “glue” between Wholesale, Production, Finance, Merchandising, and Logistics.
  • Manage the wholesale order book from order confirmation through to delivery.
  • Maintain accurate customer, product, pricing, and order information across internal systems.
  • Produce detailed weekly and monthly reports covering sales, order status, deliveries, cancellations, returns, and outstanding payments.
  • Analyse wholesale performance and order data, highlighting risks, discrepancies, and commercial opportunities.
  • Monitor seasonal delivery schedules and work closely with Production and Logistics to ensure orders are delivered accurately and on time.
  • Proactively identify potential delays or fulfilment issues and communicate clear updates to internal teams and wholesale partners.
  • Liaise with Finance regarding invoicing, credit limits, payment status, proformas, and account queries.
  • Partner with Merchandising to ensure product, pricing, and availability information remains accurate.
  • Manage order amendments, cancellations, returns, credits, and delivery discrepancies.
  • Track samples, customer requests, and key seasonal deadlines.
  • Support account managers with reporting, order analysis, appointments, and customer information.
  • Maintain strong relationships with wholesale partners, providing responsive and accurate support.
  • Help improve internal processes, reporting tools, and ways of working across the wholesale function.
  • Provide wider administrative and operational support throughout the seasonal wholesale cycle.

  • Previous experience within wholesale administration, wholesale operations, sales support, or order management, ideally within fashion, accessories, or a contemporary consumer brand.
  • Highly analytical, with the ability to interpret data and turn it into clear, useful reporting.
  • Advanced Excel skills, including pivot tables, lookups, and working confidently with large data sets.
  • Exceptional attention to detail and accuracy.
  • Commercially aware, proactive, and able to anticipate issues before they arise.
  • Comfortable managing multiple priorities and deadlines within a fast-paced environment.
  • A confident communicator who can build effective relationships across different departments.
  • Strong problem-solving skills and a genuine sense of ownership.
  • Experience using wholesale, ERP, or order-management systems would be advantageous.
  • Reliable, collaborative, and calm under pressure.
