SWGR are looking for a Training and Sentinel Coordinator to join our Glasgow office. The individual will be responsible for providing an efficient, comprehensive, and professional general administration support service and to ensure that all administrative procedures are processed accurately within specified timescales. In addition, to coordinate all training, assessment, and Occupational Health requirements.

Key Responsibilities And Accountabilities

  • Coordinate with operational management with regards to Training Request Forms and liaise with external training providers to ensure that their training needs are satisfied.
  • Deal with all aspects of the planning and booking of training including any special requirements and ensure that all training is authorised and accurately recorded.
  • Maintain and update the training history for all operatives and staff including the filing of competency record cards and relevant certificates.
  • Ensure that all relevant documentation has been completed including signed Recovery of Expenditures Agreements, signed Training Deduction Forms prior to training taking place.
  • Ensure the effective communications and administration of all training events including the scheduling and issuing of all joining instructions.
  • Initiate and prepare all company training expenditure documentation for authorisation and ensure that the company is getting the best value for money.
  • Check all incoming training invoices to ensure details match the corresponding booking forms, rectify with suppliers any issues and pass to procurement for processing.
  • Produce company training recoveries for all operational departments as and when requested and support the HR leaving process as necessary.
  • General clerical duties including photocopying, mailing, accurately maintaining electronic and hard copy filing systems and responding to any relevant departmental queries in a prompt manner.
  • Ensure that all internal processes and documentation are maintained in compliance with all internal and external auditing requirements.
  • Provide ad-hoc break main reception cover and take responsibility for collating and distributing all incoming mail.
  • To carry out any other reasonable duties as requested commensurate with your skills, knowledge and ability in the interest of the business.

  • Complete Sentinel Checks as required.
  • Add/remove sponsorship as required.
  • Manage notifications from Sentinel.
  • Notify Sentinel of medical/D&A results.
  • Manage the issue of new Sentinel cards.
  • Generate TVP’s as required.
  • Arrange medical & D&A appointments as required.
  • Manage rule book requirements (existing and updates).
  • Management of 90-day lists for medical, competency and assessment expiries.

Working Pattern

This role is office based, Monday till Friday 9am-5pm.
