Service Accounts Administrator – Spider is advertising on behalf of a well-established and growing transport refrigeration company who are looking for a Service Accounts Administrator to join their busy service team on a full-time, permanent basis, based in Colchester, Essex.

About the role:

As a Service Accounts Administrator, you will provide essential administrative and accounts support to the service department, helping to ensure jobs are managed efficiently from initial customer contact through to completion and invoicing. You will maintain accurate records, process engineers' job sheets, prepare quotations, raise invoices, support credit control and assist with general bookkeeping and accounts administration.

This is a varied role within a busy service environment, requiring excellent organisation, attention to detail and a professional approach to customer service. Working hours for this role will be Monday to Friday, 8:00am – 5:00pm, 40 hours per week.

Key Responsibilities Include:

  • Maintain accurate service records, customer information and service contract details
  • Process engineers' job cards and service sheets, identifying outstanding parts, materials or follow-up works
  • Prepare and follow up quotations, ensuring completed jobs are ready for invoicing
  • Raise accurate customer invoices and check labour, parts and materials before billing
  • Process supplier invoices, monitor customer accounts and assist with credit control
  • Record payments, reconcile customer and supplier statements and assist with bank reconciliations
  • Support general bookkeeping and month-end and year-end accounts procedures

About you:

To be successful in this Service Accounts Administrator role, you will have previous office administration experience, excellent organisational and time-management skills, and strong attention to detail. You will be confident communicating with customers by telephone and email and comfortable prioritising multiple tasks within a busy service environment.

Previous accounts or bookkeeping experience would be advantageous, along with knowledge of Xero or similar accounting software and experience using job or service management systems. You will be proactive, reliable and able to work independently while also being a positive and supportive team player.

Above all, you will have a professional, friendly and customer-focused approach, with the ability to remain calm under pressure, use your own initiative and maintain accuracy in a fast-paced working environment.
