Service Administrator

Location: Keighley

Position: Full Time Permanent role - Fully site based.

Your New Role

• Provide administrative support to the Service Manager and Service Department, helping to deliver excellent operational performance and customer satisfaction.
• Manage incoming calls to the department, responding to queries professionally and directing enquiries to the appropriate team member when necessary.
• Handle customer requests and enquiries from both internal and external stakeholders, ensuring a responsive and customer-focused service.
• Assist with account-related queries, including processing payments and supplying account statements or supporting documentation as required.
• Administer banking activities and petty cash transactions, including completing regular reconciliations.
• Prepare, review and process service paperwork, ensuring work orders and records are accurate and up to date.
• Manage warranty and product improvement claims for manufacturers, from submission through to completion, including coordination of warranty part returns when required.
• Maintain records relating to vehicle servicing, inspections and MOT schedules to ensure compliance.
• Support time and attendance administration, including recording holidays, sickness absence and other employee leave across departments.
• Review and validate engineer labour allocations using the company management system, ensuring job records remain accurate.
• Coordinate administration relating to ground care service and repair work, including invoicing and arranging equipment collections or deliveries.
• Order and maintain stock levels of stationery and general office supplies.
• Conduct routine checks of fire safety and emergency lighting systems, escalating any issues identified.
• Participate in training and development activities to maintain knowledge and contribute to departmental and business objectives.
• Carry out additional administrative tasks and projects as reasonably required to support the Service Department and wider operation.
