Join us as a Service Administrator
As a Service Administrator, you'll play a key role in supporting the delivery of maintenance and repair services across our customer portfolio. Working closely with engineers, customers and internal teams, you'll help coordinate service activities, maintain accurate records, process documentation and ensure customer enquiries are handled efficiently.
This is a varied and fast-paced role that would suit an organised and proactive administrator who enjoys working with people, managing multiple priorities and helping to keep operations running smoothly.
Your Main Responsibilities
- Providing administrative support to the Service Department and wider operational teams
- Managing incoming telephone calls, emails and customer enquiries, ensuring a professional and responsive service at all times
- Processing service requests, logging call-outs and monitoring progress through to completion
- Coordinating engineer diaries and assisting with the planning and scheduling of maintenance and reactive works
- Maintaining accurate service records, customer information and internal systems
- Processing engineer timesheets and supporting the effective administration of field-based activities
- Preparing, issuing and tracking reports, correspondence and service documentation
- Updating customer portals and records to ensure service commitments and response requirements are met
- Preparing and issuing accurate customer invoices and supporting related administration activities
- Liaising with customers, engineers and colleagues to ensure service activities are communicated and coordinated effectively
- Assisting with the preparation and maintenance of service files, worksheets, schedules and operational documentation
- Supporting continuous improvement by ensuring company procedures and administrative processes are followed consistently

Essential
What you bring
- Strong administrative and organisational skills
- Excellent communication and customer service skills, both written and verbal
- Good IT skills, including Microsoft Office applications
- Ability to prioritise workload effectively and manage multiple tasks simultaneously
- Strong attention to detail and commitment to accuracy
- Ability to work independently whilst contributing positively to a wider team
- A proactive and professional approach with a willingness to learn

- Previous experience within an administration, customer service, service coordination or scheduling environment
- Experience supporting field-based engineers or operational teams
- Experience processing invoices and maintaining customer records
- Experience using customer portals, CRM systems or service management systems
