WE’RE HIRING: Service & Maintenance Administrator
Location: Princes Risborough – office-based
Salary: £34,000–£45,000, depending on experience
Hours: Monday to Friday, 9:00am–5:00pm
Fiveway Systems Ltd, trading as Aircon Services, Cherwell Heating and ProEco Services, is looking for an organised and proactive Service & Maintenance Administrator to join our growing team.
This is a key operational role where you will act as the central link between our customers, field engineers, suppliers and management team.
You will help coordinate our daily service and maintenance workload, ensure customers are kept updated and support the smooth running of our heating, air conditioning and ventilation businesses.
Key Responsibilities
- Acting as the first point of contact for customers by telephone and email
- Logging service calls and responding to customer enquiries
- Organising site visits and coordinating engineer schedules
- Monitoring ongoing jobs and arranging follow-up visits
- Supporting the setup of new customer accounts and maintenance contracts
- Processing completed job sheets and service reports
- Assisting with invoicing and extra works quotations
- Maintaining accurate customer, site and equipment records
- Logging completed works on the BESCA portal
- Coordinating materials, parts and deliveries
- Supporting fleet administration
- Checking engineer timesheets and expenses for payroll processing

What We’re Looking For
- Previous experience in service administration, maintenance coordination, helpdesk support or a similar role
- Experience coordinating engineers or mobile workers would be beneficial
- Confident using Microsoft Word, Excel and Outlook
- Experience using job-management or helpdesk software
- Joblogic experience would be an advantage
- Excellent written and verbal communication skills
- Strong organisational skills and attention to detail
- A professional and customer-focused approach
- The ability to work independently and manage changing priorities
- A positive and calm attitude in a busy environment
