Service Administrator

Location: Abingdon (OX14 1RL)

At Trinity Fire & Security, we’re more than just experts in safety and security — we’re a supportive team with a shared purpose: protecting what matters most to our customers.

We’re looking for an organised and efficient Service Administrator to join our Abingdon office to provide admin support to the Service Department.

This is a key administrative role responsible for supporting the efficient delivery of service operations by ensuring service jobs and call-outs are accurately assigned, progressed, documented, and closed.

Working closely with customers, service engineers, and internal teams, you will play a vital role in maintaining service records, managing documentation, and ensuring all necessary customer purchase orders and supporting paperwork are obtained to enable smooth service delivery and invoicing.

This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys building strong relationships while providing outstanding customer service.

What You’ll Be Doing

  • Chase outstanding customer Purchase Orders (POs) to support job scheduling, service delivery, and invoicing.
  • Review completed service visits and ensure all service reports, timesheets, and supporting documentation are received and processed correctly.
  • Close completed service jobs and call-outs.
  • Act as a primary point of contact for customers regarding job status, service updates, and outstanding PO requirements.
  • Support the invoicing process.
  • Monitor job progress and identify any delays, missing documentation, or customer issues.

What We’re Looking For

  • Professional Telephone manner
  • Proficient in Microsoft Office, including Excel and Word
  • Excellent critical thinking and problem-solving skills
  • Excellent verbal and written communication skills
  • Ability to work independently or as part of a team
  • Adaptable working approach to suit the customer needs
  • Keen attention to detail
  • Work well under pressure and ability to multitask
  • Excellent time management
  • Previous administrative experience preferred
