Job Summary
Lead the coordination and systems that keep our programmes, services, and partnerships running effectively. You’ll oversee delivery, data, reporting, logistics, and operational processes while helping teams stay organized, accountable, and focused on creating community impact.
Job Description
- Provide central coordination across programmes and services, helping teams stay aligned on priorities, deadlines, and delivery milestones.
- Maintain oversight of programme delivery, tracking progress, outputs, risks, and reporting requirements across multiple services.
- Develop and maintain effective systems for project management, data, reporting, and compliance.
- Ensure project documentation, templates, and processes are consistent, accessible, and used effectively across teams.
- Maintain accurate, audit-ready programme data and ensure systems meet GDPR, safeguarding, and funder requirements.
- Support monitoring, evaluation, and learning (MEL), including data collection, validation, and preparation of reports.
- Oversee participant registration, attendance, consent, and engagement systems.
- Coordinate operational logistics across programmes, including venues, equipment, facilitators, staff, and volunteer onboarding.
- Maintain organizational calendars covering delivery schedules, reporting cycles, funding deadlines, and key events.
- Identify risks, delays, and capacity issues, escalating where appropriate, and supporting practical solutions.
- Provide managers and senior leadership with clear information and insights on programme performance, progress, and risks.
- Improve workflows, systems, and communication processes to reduce administrative burden and strengthen organizational effectiveness.
- Support the Black Country Network, youth voice activity, and partner engagement, helping ensure community insight and learning inform delivery.
- Support communications and external engagement to promote programme activity, partnerships, and impact.

Job Requirements
We are looking for someone with:
- Experience in programme coordination, operations, administration, or a similar role.
- Strong organizational skills and the ability to manage multiple priorities, deadlines, and projects.
- Experience developing or using systems for data management, reporting, CRM, or project tracking.
- Experience coordinating programmes, events, services, or operational logistics.
- Strong attention to detail and the ability to identify and solve problems proactively.
- Understanding of GDPR, safeguarding, and data compliance.
- Ability to interpret data and turn information into clear operational insights.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively across teams.
- Commitment to equity, inclusion, and community-focused work.

Job Responsibilities
- Coordinate programme administration, timelines, milestones, deadlines, and reporting cycles.
- Maintain oversight of delivery, identifying and escalating risks, delays, and capacity issues.
- Develop and improve project management, data, reporting, and administrative systems.
- Ensure programme documentation and data are accurate, consistent, accessible, and audit-ready.
- Coordinate participant registration, attendance, consent, and engagement records.
- Support monitoring, evaluation, learning, and the preparation of internal and external reports.
- Coordinate venues, equipment, facilitators, onboarding, and other delivery logistics.
- Provide managers and senior leaders with clear information on progress, performance, and risks.
- Improve workflows and processes to reduce administrative burden and strengthen efficiency.
- Support Black Country Network activity, youth voice structures, partner engagement, and organizational communications.
