An Exciting Opportunity to Join Our Service Information Team
An exciting opportunity to join our Service Information Team, facilitating a variety of professional administrative services and providing a welcoming reception at our modern Service Headquarters building.
About the Role
As part of the Information Governance Department, our Service Information Team plays a vital role in keeping our communities safe by delivering professional administrative services in support of various departments across Leicestershire Fire and Rescue Service, as well as maintaining our Headquarters Reception function.
As a member of the Team, you will work alongside four other Administrators and liaise with all types of people whilst performing your duties, including members of the public, colleagues from all departments, and external stakeholders and agencies, providing a high standard of customer care to all.
Your administration duties will involve following detailed processes to deliver various tasks, such as:
- Logging referrals for home safety checks
- Recording complaints, non-fire safety concerns, and complements
- Processing requests for information
- Dealing with and responding to general enquiries and other correspondence
- Giving basic advice on home fire safety
- Providing support for corporate meetings, including taking minutes
When maintaining our reception function in support of our two dedicated Receptionists, you will ensure that our Headquarters building and phone lines are available during our core opening hours and that all our callers and visitors receive a helpful and professional service.
Requirements
We are seeking applicants who have some relevant experience in a similar role or have transferable skills which they can develop through their keenness and ability to learn.

Working Hours
This opportunity offers working hours of 9:00am-5:00pm, Monday to Thursday, and 9:00am-4:30pm on Fridays.

Job Objectives
You will be responsible for various administration tasks including:
- Processing Information Requests
- Allocating Home Safety Checks
- Recording Complaints
- Supplying Incident Reports
- Producing ID Cards, Parking Permits, and issuing Driver Fobs for our colleagues throughout the Service
- Receiving incoming mail and deliveries
- Providing a note-taking service for corporate meetings
- Admin support to other departments when necessary
- Maintaining Reception to ensure continuous service during office hours
Skills Required
We are looking for someone with previous experience within an administrative role. You will be team-focused and have excellent customer service skills, be a confident communicator who is able to engage with colleagues and members of the public to deliver advice in a clear and concise way. You will be confident in processing sensitive and confidential information, have a good understanding of Data Protection requirements and how they apply in the workplace. You will have the ability to develop and maintain knowledge and understanding of systems and processes in a frequently changing environment, being confident using various types of software and prioritising tasks to manage your own workload and accommodate Team deadlines.
