Are you an experienced administrator who loves being organised, keeping on top of the detail and making sure everything runs smoothly behind the scenes? Perhaps you're at your best in a busy, fast-moving office, where no two days are quite the same and you're juggling everything from invoices and purchase orders to timesheets, engineer queries and client requests.

If so, we have a fantastic opportunity to join an exceptionally friendly, welcoming and supportive team in Gateshead as their new Service & Maintenance Administrator.

You'll be joining a busy Service & Maintenance department, providing essential day-to-day administrative support to the Service Manager and Service & Maintenance Coordinator, while also working closely with engineers, clients and colleagues across the wider business.

This is a varied, hands-on administration role within a very busy Service & Maintenance department. You'll work closely with the Service Manager and Service & Maintenance Coordinator, providing the administrative support they need to keep the department organised and running smoothly.

  • Providing day-to-day administrative support to the Service Manager and Service & Maintenance Coordinator
  • Processing and checking engineer timesheets
  • Raising and processing invoices
  • Raising purchase orders
  • Liaising with clients regarding service and maintenance administration
  • Communicating with engineers and providing administrative support
  • Managing queries by telephone and email
  • Updating internal systems, spreadsheets and Excel data
  • Processing paperwork accurately and efficiently
  • Maintaining accurate records and ensuring information is kept up to date
  • Supporting the wider Service & Maintenance team with day-to-day administration
  • Completing other ad-hoc administrative duties to support this busy department

⭐ What are we looking for?

We're looking for someone who is a strong administrator first and foremost. You don't necessarily need to come from an engineering or maintenance background, but you do need to be confident working in a busy office environment where accuracy and organisation are really important.

You'll ideally have:

  • Previous experience within an administration or office support role
  • Strong IT skills and confidence using Microsoft Office, particularly Excel
  • Excellent organisational skills and attention to detail
  • A confident and professional telephone manner
  • Good written and verbal communication skills
  • The ability to manage multiple tasks and changing priorities
  • Confidence dealing with both clients and internal colleagues
  • A proactive approach and willingness to get stuck in
  • The ability to stay calm and organised when things get busy
