Service Planner / Administrator

Location: Reading

Salary: £29,000 - £31,000 DOE + Bonus

Hours: Monday to Friday + 1 in 4 Saturdays Mornings

An exciting opportunity has arisen for an organised and customer-focused Service Planner / Administrator to join a busy Commercial Vehicle Service.

This is a varied and fast-paced role, ideal for someone with experience in automotive, HGV, LCV, service administration or workshop planning. You will be responsible for booking vehicles into the workshop, supporting customers throughout the repair process and ensuring the smooth day-to-day running of the Service Department.

The Role:

  • Book vehicles in for servicing, maintenance, MOTs and additional repair work
  • Manage workshop bookings and help maximise available workshop capacity
  • Contact customers to arrange appointments and carry out outbound booking calls
  • Keep customers updated on the progress of their vehicles
  • Raise and prepare job cards and repair orders
  • Assist with job card processing and administration
  • Invoice completed MOT tests for the HGV MOT ATF
  • Raise and process invoices accurately
  • Order parts and arrange subcontract work when required
  • Carry out post-service follow-up calls with customers
  • Promote additional workshop services and repairs where appropriate
  • Maintain accurate vehicle history, service records and documentation
  • Scan and file job cards and support general department administration
  • Assist with parts and labour sales to support branch targets
  • Work closely with the Service Manager, workshop and wider service team

What We're Looking For:

  • Previous experience in a Service Advisor, Service Administrator, Workshop Planner or similar role
  • Automotive, HGV or LCV experience would be highly advantageous
  • Excellent customer service and communication skills
  • Strong administration and organisational abilities
  • Excellent attention to detail
  • Ability to work in a fast-paced environment and manage multiple tasks
  • A proactive and positive "can-do" attitude
  • Strong problem-solving skills and ability to use your own initiative
  • Comfortable working both independently and as part of a team
  • Basic technical understanding and confidence working with systems and administrative processes
