Service Planning Coordinator

Location: Derby with hybrid working options

Contract: 6 Month Fixed Term Contract

Company: Arriva Road Transport Services (ARTS)

Salary: £33,288 per annum + on call

About the Role

Reporting to the Pre-Planned Operations Manager, the Service Planning Coordinator will be responsible for the planning, processing, and allocation of rail replacement and train crew taxi services across the UK.

The successful candidate will ensure all transport arrangements are delivered efficiently, cost-effectively, and in compliance with relevant UK and EU driving regulations.

They will work closely with train operating companies (TOCs), transport suppliers, and internal stakeholders to provide high-quality passenger transport solutions while maintaining exceptional levels of customer service.

The role also involves managing post-operation service reviews, resolving delivery issues, validating supplier performance, and ensuring all invoicing is processed accurately to support timely and correct payments.

Key Responsibilities

  • Process rail replacement and train crew taxi orders, ensuring all journeys are planned efficiently and delivered to agreed service standards.
  • Allocate transport requirements to approved suppliers, securing commercially competitive rates while maintaining quality and safety standards.
  • Ensure all planned operations comply with relevant UK and EU driving regulations and company procedures.
  • Liaise with Train Operating Companies (TOCs) to understand operational requirements and provide effective transport solutions.
  • Coordinate with taxi, minibus, coach, and bus operators to deliver reliable passenger transport services.
  • Produce operational plans, briefings, and supporting documentation for internal and external stakeholders.
  • Monitor service delivery performance and investigate any service failures or operational issues.
  • Resolve post-operation queries and identify opportunities for continuous improvement.
  • Review supplier invoices and operational records, ensuring accuracy before payment and customer billing.
  • Maintain transport supplier databases and develop strong working relationships with operators.
  • Analyse operational and financial data to support efficiency improvements and service optimisation.
  • Attend meetings with customers and suppliers as required to support business objectives and service delivery.
  • Support the identification of new business opportunities and contribute to the growth of ARTS services.

Essential Skills & Experience

  • Strong numerical and analytical skills.
  • Excellent attention to detail with the ability to maintain accuracy in a fast-paced environment.
  • Good organisational and time management skills, with the ability to prioritise multiple tasks effectively.
  • Strong communication and stakeholder management skills.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Ability to work independently as well as collaboratively within a team.
  • Problem-solving mindset with a proactive approach to resolving operational issues.

Desirable Skills & Experience

  • Knowledge of UK geography.
  • Understanding of taxi, minibus, coach, or passenger transport operations.
  • Awareness of UK/EU drivers' hours regulations.
  • Experience within transport, logistics, rail, or operational planning environments.
  • Previous experience of supplier management or transport procurement.
