Job Description

We are looking for a highly organised and proactive Shipping Coordinator to join our Operations team. This is an exciting opportunity for an experienced logistics professional to manage domestic and international shipments while ensuring compliance with UK customs regulations and international trade requirements.

The successful candidate will play a vital role in coordinating complex logistics operations across EMEA, supporting critical customer deliveries and working closely with freight forwarders, customs brokers, suppliers, warehouse teams, and project managers to ensure shipments are delivered safely, efficiently, and on time.

Key Responsibilities

Shipping & Logistics

  • Coordinate domestic and international shipments by road, air, sea, and courier.
  • Arrange collections and deliveries with approved freight forwarders.
  • Expedite urgent and critical outage shipments to minimise customer downtime.
  • Coordinate direct-to-site deliveries across EMEA.
  • Arrange oversized, abnormal, and heavy-lift transportation where required.
  • Manage import and export activities for both project and operational shipments.
  • Coordinate repair and return logistics with suppliers and repair facilities.
  • Organise temporary exports and imports for service tooling and specialist equipment.

Customs & Trade Compliance

  • Prepare, review, and manage all export and import documentation, including:
    • Commercial Invoices
    • Packing Lists
    • Export Declarations
    • Import Documentation
    • Certificates of Origin
    • Dangerous Goods Documentation
  • Ensure compliance with UK Customs regulations, HMRC requirements, Export Control legislation, sanctions, and restricted party screening requirements.
  • Coordinate customs clearance activities with customs brokers.
  • Maintain accurate commodity (HS/Tariff) codes.

ATA Carnets & Temporary Shipments

  • Prepare and administer ATA Carnets for temporary imports and exports.
  • Coordinate the movement of service tooling, inspection equipment, and specialist assets under Carnet arrangements.
  • Liaise with Chambers of Commerce and customs authorities regarding Carnet documentation.

Freight Management

  • Obtain freight quotations and select the most cost-effective transport solutions.
  • Verify freight invoices prior to approval.
  • Monitor freight expenditure against budgets.
  • Identify opportunities to reduce transportation costs and improve efficiency.
  • Develop and maintain strong working relationships with logistics providers and freight forwarders.

Warehouse Coordination

  • Work closely with the Warehouse Team Leader to prioritise picking, packing, and dispatch activities.
  • Ensure packaging complies with company packaging standards.
  • Verify shipment contents against packing lists and project requirements.
  • Coordinate container loading and specialist transport requirements.
  • Ensure hazardous materials are packed and shipped in accordance with ADR, IMDG, and IATA regulations.

Systems & Administration

  • Update shipment status within company systems.
  • Generate shipping reports and KPI data.
  • Maintain accurate document retention in line with company procedures.
  • Support continuous improvement initiatives across logistics operations.
