Role Purpose
The Neko Signature Coordinator is the operational backbone of the Signature programme. You work behind the scenes so that every booking is set up correctly, every logistical detail is handled, and the Concierge team can focus fully on delivering an exceptional member experience.
You are the first to receive and triage enquiries, the person who makes sure nothing falls through the cracks, and the link between the Concierge team, clinic operations, and the member. The role suits someone highly organised and calm under pressure, who is genuinely motivated by getting the details right and can shift priorities without losing accuracy.
This role runs on a rotating schedule that includes evenings and weekends. The right person sees that as part of delivering a truly exceptional Signature experience.

- Every Signature booking set up correctly and ahead of time in Neko's platforms, with members holding their confirmations, instructions and any personalised requirements well before the visit. (Member First, always)
- Enquiries triaged across all channels and routed to the right Concierge promptly, with status visible at a glance and anything urgent flagged and escalated early rather than late. (Optimistic truth-seeking)
- Visit logistics coordinated end to end, including transport, ordering and specific member requirements, with clinic and operations teams briefed ahead of every visit so nothing is left to chance on the day. (Impact, not activity)
- High-volume periods and Signature events handled calmly, with last-minute changes absorbed and every relevant team kept informed in real time, so the member never feels the pressure behind the scenes. (Member First, always)
- As the programme grows, coordination scales with it: SOPs, trackers and process improvements that keep the team consistent and accurate as volume rises. (Chase 10X, not 10%)
Minimum Requirements
- Experience in a coordination, operations, or administrative role, ideally within hospitality, healthcare, or a high-touch service environment.
- Exceptional organisational skills and attention to detail.
- Strong written and verbal communication skills.
- Able to manage multiple priorities and keep track of moving parts without losing accuracy.
- Able to handle highly confidential and sensitive member information with absolute discretion, including when working with high-profile individuals.
- Calm and professional in all situations, with a genuine commitment to getting things right for the member.
- Comfortable working a rotating schedule that includes evenings and weekends.
- Confident with everyday workplace tools, including Microsoft Word, PowerPoint, Excel and Outlook, to manage schedules, trackers and member documentation.

- Familiarity with concierge management, scheduling platforms, or CRM tools.
- Experience with Zendesk or similar.
