About The Role

As a Site Access Control Administrator within our Asset & Technology Solutions business, you'll play a key role in supporting projects across the UK by coordinating site access control systems and services from mobilisation through to demobilisation.
Acting as the central point of contact for project teams, suppliers, and internal stakeholders, you'll help ensure that access control hardware, software, and associated services are delivered, installed, and operational in line with project requirements. This is an exciting opportunity to join a growing function that supports projects across the wider Balfour Beatty Group, helping to improve operational efficiency, compliance, and workforce management.
What you'll be doing
- Coordinating site access control requirements for new and existing projects.
- Managing orders for access control hardware, software, and associated services through approved supply chain partners.
- Ensuring orders are processed accurately and delivered in line with agreed service levels and project timelines.
- Monitoring the progress of orders and resolving any issues to ensure successful delivery.
- Supporting project teams throughout mobilisation activities, from planning and design through to deployment.
- Assisting with system design discussions and gathering project-specific requirements.
- Coordinating the installation, commissioning, and handover of site access control equipment.
- Supporting demobilisation activities, including equipment recovery and redeployment.
- Producing reports and management information to monitor service performance, KPIs, and SLAs.
- Analysing data and presenting insights to key stakeholders to support informed decision-making.
- Ensuring all necessary health and safety documentation and RAMS are in place before hardware delivery or collection.
- Building and managing mobilisation and demobilisation delivery programmes.
- Responding to customer enquiries and proactively resolving issues.
- Building strong relationships with project teams, suppliers, and internal stakeholders across the business.
- Contributing to continuous improvement initiatives and departmental objectives.

Who we're looking for
We're seeking a highly organised and customer-focused administrator who can effectively manage multiple priorities while maintaining exceptional attention to detail.
Essential Experience & Skills
- Experience in an administration, coordination, mobilisation, workforce management, or project support role.
- Strong IT skills, including Microsoft Excel, Word, PowerPoint, and Teams.
- Experience working with digital systems, databases, and reporting tools.
- Ability to produce management information and performance reports.
- Excellent organisational, planning, and communication skills.
- Strong attention to detail with a focus on data accuracy.
- Ability to manage multiple stakeholders and competing priorities.
- Strong problem-solving skills and a proactive approach to customer service.
- Ability to work within service level agreements and performance targets.
- Excellent interpersonal skills with the confidence to communicate effectively at all levels.
Desirable Experience
- Experience working with site access control or workforce management systems.
- Experience within construction, engineering, or infrastructure sectors.
- Knowledge of workforce competency management systems.
- Experience using Power BI or other data analytics platforms.
- Understanding of project mobilisation and demobilisation processes.
- Knowledge of GDPR and data governance requirements.
