Job Title: Site Administrator / Document Controller

DIVISION: Building

LOCATION: Milton Keynes

CONTRACT TYPE: Permanent

Job Summary

Join our team as a Site Administrator / Document Controller on a major project in Milton Keynes. This is an excellent opportunity for an organised and proactive individual to support the successful delivery of a high-profile construction project. Combining site administration and document control responsibilities, you'll manage project documentation, maintain accurate records, coordinate correspondence, and provide administrative support to the wider project team.

Working closely with Project Managers, Site Managers, Design Teams, and subcontractors, you'll utilise platforms such as Viewpoint 4Projects, SharePoint, and Autodesk Build to ensure project information remains accurate, accessible, and compliant with BS EN ISO 19650 standards.

Key Responsibilities

  • Provide comprehensive site administration and document control support to the project team.
  • Manage and maintain project documentation, including drawings, specifications, RFIs, technical submissions, reports, and health & safety records, ensuring compliance with company procedures and BS EN ISO 19650 standards.
  • Utilise and maintain document management systems such as SharePoint, Viewpoint 4Projects, VIS Pod, and Autodesk Build.
  • Coordinate project correspondence, meetings, inductions, training records, and general site administration activities.
  • Maintain document registers, workflows, folder structures, and user permissions, ensuring information is accurate, up to date, and easily accessible.
  • Coordinate the distribution and quality checking of project information, including drawings and technical documentation.
  • Support the project, design, and commercial teams with compliance documentation, O&M manuals, handover information, and tender submissions.
  • Prepare meeting minutes, maintain project records, and assist with timesheets, attendance records, and other administrative duties as required.
  • Liaise with project stakeholders, consultants, and subcontractors to ensure effective communication and information management throughout the project lifecycle.

Requirements

Essential Criteria

  • Previous experience in a Site Administrator, Document Controller, or similar construction support role.
  • Experience working within a construction, engineering, or built environment setting.
  • Strong organisational skills and attention to detail.
  • Ability to manage multiple priorities within a busy project environment.
  • Experience using document management systems such as Viewpoint, SharePoint, Autodesk Build, or similar platforms.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications including Word, Excel, Outlook, and Teams.
  • Professional and confident approach when dealing with internal and external stakeholders.
  • Ability to work full-time on site in Milton Keynes.

Desirable Criteria

  • Experience working on large-scale construction projects.
  • Knowledge of BS EN ISO 19650 information management standards.
  • Experience supporting project handover documentation and O&M manual compilation.
  • Understanding of digital construction processes and document control best practices.
  • Full UK Driving Licence.
