Site Administrator
Reporting to the Plant Manager, the Site Administrator plays a key role in supporting the smooth and efficient operation of the site. This position provides comprehensive administrative support to the management team, helping to achieve business objectives while ensuring the effective running of gatehouse and despatch activities.
The successful candidate will support a range of administrative functions, including payroll, purchasing, and despatch administration. As the first point of contact for visitors, contractors, and delivery drivers, you will provide a professional and welcoming service through both the gatehouse and office reception.
A strong team-focused approach is essential. Working as part of a team of three Site Administrators, you will collaborate closely to ensure seamless coverage during holidays and absences. Maintaining continuity within the gatehouse and despatch functions is particularly important, as these are critical to ensuring customers receive their orders accurately and on time.
Your Duties

Payroll
- Administration of payroll for the site
- Collation, analysis and reconciliation of worked hours on the Dayforce system
- Administration of OT and banked hours on the Dayforce system
- Deal with payroll queries as they arise

Purchasing
- Raising of requisitions and purchase orders on the JD Edwards system
- Delivery note collation, order receipt and GRN on the JD Edwards system
- Administration of the Cardex System, inputting of monthly data and stock reconciliation
- Working with production team to determine Raw Material Ordering requirements
- Production Consumable reordering
- Maintenance Spares ordering
- Reconciliation of Month End spending vs P&L
- Maintain electronic records

Despatch
- Ensure relevant safety information is communicated to drivers arriving at site
- Printing despatch tickets (picking lists and despatch tickets)
- Process returned loads
- Daily reconciliation of deliveries and returns (stock movements)
- Act as first point of contact on site / reception duties
- Ensure gatehouse cover is always maintained
- Maintain electronic records

- General Administration
- Cover office reception desk, assisting visitors and contractors to report to the correct person
- Help maintain a clean & tidy office environment, assisting with visitors, and scanning records electronically wherever possible to reduce paper.
About You
This is an excellent opportunity for an organised, proactive individual who enjoys working in a fast-paced environment and takes pride in delivering excellent administrative support and customer service.
- Good knowledge of MS Office and Excel are essential.
- Good Financial awareness
- Good communication skills
- Ability to prioritise and work to tight deadlines
