Site Administrator / Document Controller

Location: Cambois, Blyth, Northumberland

Competitive day rate (Contract)

Working hours: Monday to Friday, 07:30am to 17:00

Naughton Contracts Ltd is a young, ambitious civil engineering company delivering groundworks, earthworks, basements, site set-up and enabling, and civil engineering solutions across residential, commercial, and infrastructure projects. Including major data centre developments. We're looking for a Site Administrator / Document Controller to join our site team on an active data centre project in Cambois, Northumberland, and help keep our project documentation accurate, organised, and accessible.

About the Role

As Site Administrator / Document Controller, you'll be responsible for managing the flow of project documentation, drawings, RAMs, quality records, and correspondence ensuring information is accurately logged, version-controlled, and distributed to the right people at the right time. You'll also provide day-to-day site administration, supporting our project and commercial teams across groundworks, earthworks, basements, and civil engineering works.

Key Responsibilities

  • Manage the receipt, logging, distribution, and filing of project documentation, including drawings, specifications, RAMs, and correspondence.
  • Maintain accurate document registers and ensure version control across all live projects.
  • Upload, organise, and manage documents within the company's document management system (e.g. SharePoint or similar platforms).
  • Ensure documents are formatted, named, and filed in line with company and client standards.
  • Track document approval workflows, following up on outstanding actions and approvals.
  • Support project and commercial teams with the timely retrieval and distribution of documentation.
  • Liaise with clients, consultants, and subcontractors regarding document submissions and requirements.
  • Maintain confidentiality and security of sensitive project information.
  • Support internal and external audits by ensuring documentation is complete, accurate, and readily accessible.
  • Provide general site administration to support the wider project team.

Experience

  • Experience as a Document Controller or Site Administrator, or in a similar administrative/document management role, ideally within construction or civil engineering.
  • Experience using document management systems (e.g. SharePoint, Viewpoint, Asite, or similar) is beneficial.
  • Familiarity with construction project documentation (drawings, RAMs, quality records) is an advantage.

Knowledge

  • Understanding of document control processes and version control principles.
  • Awareness of construction project workflows and the types of documentation involved.
  • Basic understanding of data protection and confidentiality requirements when handling project information.

Qualifications

  • GCSEs (including Maths and English) or equivalent.
  • Relevant qualification or training in document control or administration is desirable but not essential.

  • Proficiency in Microsoft Office (particularly Excel, Word, and Outlook) and document management software.
  • Good written and verbal communication skills.

  • A proactive, methodical approach with strong problem-solving skills.
  • Ability to build good working relationships with project teams, clients, and subcontractors.
