Operations Coordinator
The Operations Coordinator is responsible for maintaining operational control systems across CDP, ensuring the effective management of logistics, equipment control, workspace compliance, chemical governance, and operational quality processes.
This role requires a highly organised and detail-oriented individual capable of managing multiple controlled systems simultaneously while maintaining high levels of accuracy, traceability, and compliance. The successful candidate will act as a key operational stakeholder in supporting audit readiness, maintaining regulatory compliance, and driving continuous improvement throughout the organisation.
This position offers significant scope to influence and improve operational processes and will suit individuals who enjoy ownership, accountability, and working within regulated environments.
Due to the role's position within the front-of-house operations area, the Operations Coordinator will also contribute to maintaining a professional and welcoming environment for visitors, clients, and external partners. The role will provide occasional support to reception activities when required, helping to ensure a consistently high standard of customer service and visitor experience across the organisation.
Job Duties and Responsibilities
Logistics, Warehousing and Archiving
- Manage all Goods In and Goods Out activities in accordance with company procedures
- Coordinate domestic and international shipments, ensuring all documentation is accurate and compliant
- Maintain traceability of archived materials and controlled records
- Monitor logistics processes and identify opportunities for improvement
- Ensure operational records are complete, accurate, and audit-ready at all times
Stakeholder & Visitor Engagement
- Act as a professional and approachable first point of contact for visitors, clients, and delivery personnel when required
- Provide occasional reception support during periods of absence, holiday cover, or business requirements
- Assist with the coordination of visitor arrivals, meeting room readiness, and site access processes
- Ensure visitors receive a positive and professional experience that reflects CDP's values and standards
- Build effective working relationships with internal stakeholders, clients, suppliers, and external partners
- Support the smooth operation of front-of-house activities while maintaining priority operational responsibilities

Equipment Control
- Act as a key administrator of the equipment management system
- Maintain equipment records ensuring complete accuracy and traceability
- Coordinate maintenance, servicing, and calibration activities
- Conduct routine compliance checks of equipment and equipment records
- Investigate and resolve discrepancies identified during inspections
- Support continuous improvement of equipment control processes
Workspace Compliance
- Coordinate and support the monthly workspace inspection programme
- Work with workspace owners to ensure corrective actions are completed
- Monitor compliance trends and report recurring issues
- Promote good laboratory and workplace practices across the organisation
- Drive a culture of ownership and compliance
Chemical Management Support
- Support the maintenance of the chemical inventory and associated records
- Verify chemical labelling, storage, and expiry controls are maintained
- Assist with the implementation and improvement of chemical management procedures
- Support compliance inspections relating to chemical management
Audit & Quality Support
- Participate in internal and external audits
- Support preparation of audit evidence and documentation
- Maintain records and systems to ensure ongoing audit readiness
- Assist with investigation and closure of audit observations and non-conformances
- Support compliance with ISO 9001, ISO 13485, and other applicable standards
Continuous Improvement
- Identify process inefficiencies and compliance risks
- Lead small improvement initiatives within operational processes
- Develop and maintain process documentation, templates, and work instructions
- Support the implementation of new systems and processes
- Monitor effectiveness of corrective and preventive actions
Additional activities
This role will be required, on occasion, to perform other duties in line with the Site Operations Manager's needs.
Requirements
Skills and Attributes
- Exceptional attention to detail with a proven ability to maintain accurate records and controlled systems
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- Strong customer service and interpersonal skills with the confidence to engage professionally with clients, visitors, and external stakeholders
- Strong problem-solving and analytical skills
- Ability to identify, investigate, and resolve discrepancies
- Confident communicating with stakeholders at all levels

- Demonstrated ability to improve processes and identify efficiencies

Education and Experience
- Experience within a laboratory, engineering, manufacturing, or regulated environment
- Experience with equipment management systems
- Experience conducting inspections or compliance checks
- Experience working within documented procedures and quality systems
- Experience maintaining databases, registers, or controlled records
- Experience working within an ISO 9001 quality management system is advantageous; ISO 13485 experience a plus
- Participation in and supporting audits is advantageous
- Experience in chemical inventory management is advantageous
- Good working knowledge of MS Office/Excel; experience with CRM systems preferred
- Degree-educated or equivalent experience
