The Opportunity
An excellent opportunity has arisen for an organised and personable Site Secretary to join a leading specialist contractor delivering one of London's largest hyperscale data centre developments.
Based on a flagship project in Acton, you'll become an integral part of the site team, ensuring the project office runs smoothly and efficiently while supporting the engineers, management team, subcontractors, and visitors who keep the project moving every day.
This isn't just a reception role. You'll become the central point of contact for the project, helping coordinate the day-to-day administration of a major construction site and ensuring everyone has the information and support they need. Role Overview
You'll be the first person people see when they arrive on site, creating a professional first impression for clients, visitors, subcontractors, and employees alike. From managing reception and coordinating meeting rooms through to handling correspondence and supporting the wider project team, you'll play an important role in keeping the site office organised and running efficiently.
Working closely with the Project Manager and site leadership team, you'll help manage documentation, maintain accurate records, and ensure administrative processes are completed to a consistently high standard. Whether you're organising deliveries, updating registers, preparing site communications, or supporting meetings, you'll be someone the team can rely on to keep everything on track.

You'll also oversee office supplies, PPE stock, welfare facilities, and general housekeeping within the project office, helping create a professional working environment for everyone on site. As the project progresses, you'll support compliance activities, maintain administrative records, and assist with health and safety documentation where required.
This is a varied position that will see you working with people across every part of the project, making it ideal for someone who enjoys being organised, approachable, and at the centre of a busy team.
About You
You'll already have experience working within an administrative, reception, or office support position and enjoy being part of a busy, collaborative environment. Construction experience would certainly be beneficial, although candidates from other fast-paced project environments are also encouraged to apply.
You take pride in being organised, can manage multiple tasks at once, and remain calm when priorities change throughout the day. You're confident communicating with people at every level, whether that's welcoming visitors, supporting senior managers, or helping site teams with day-to-day administration.
Strong Microsoft Office skills are essential, particularly Outlook, Word, and Excel, and you'll have excellent attention to detail when maintaining records and preparing documentation. Above all, you'll be someone who enjoys helping others, solving problems, and ensuring everything behind the scenes runs as smoothly as possible.

A Business Administration qualification, First Aid, or Fire Marshal training would be advantageous but aren't essential.
