At Sweet Project Construction Limited (SPCL), we work with the data, defence, and energy sectors. We are a comprehensive design, construction, and engineering provider, offering services spanning site acquisition, architecture, and refurbishment to client occupancy. Role Overview

This role is to be initially based on our Alliance Park project in Acton. Sweet Projects are carrying out the following works situated in the city of London, the 1.95-hectare site previously contained Renault and Nissan showrooms, vehicle forecourts, and maintenance areas, as well as internal waste oil storage facilities. For the first phase of the project, all buildings and structures, including the retaining wall, were demolished.

To prepare for the construction of two new hyperscale data centres, along with an office building and substation, major utility diversions and disconnections were necessary. Ground remediation and site re-levelling.

Responsibilities

The Site Secretary provides professional administrative, reception, and office support services to site-based project teams.

The role is responsible for ensuring the efficient day-to-day operation of the site office, maintaining accurate records, coordinating communications, supporting site administration processes, and delivering a positive experience for employees, visitors, and stakeholders.

Key Responsibilities

  • Reception & Visitor Management

    • Manage site reception activities, ensuring all visitors are welcomed professionally and directed appropriately
    • Monitor office access arrangements and support compliance with site security procedures.
    • Maintain visitor records, desk allocations, and site calendars
    • Provide a professional first point of contact for employees, clients, contractors, and visitors
  • Office Administration & Coordination

    • Support the day-to-day operation of the site office.
    • Manage shared inboxes, correspondence, and administrative communications
    • Prepare and distribute site communications, notices, and updates as required
    • Coordinate meeting room bookings, catering arrangements, and general office requirements

  • Document Control & Record Management

    • Maintain site records, directories, and administrative registers
    • Ensure administrative information is accurate, up-to-date, and stored in line with company procedures
    • Support the recording and tracking of deliveries, office documentation, and site administration records
    • Assist with data entry and reporting across site administration systems
  • Facilities, Supplies & Site Support

    • Maintain office supplies, stationery, consumables, and PPE stock levels
    • Coordinate office deliveries, storage, and distribution activities
    • Liaise with operational support providers to address office, welfare, and facilities issues
    • Support housekeeping and the maintenance of professional site office standards.
  • Communication & Team Support

    • Provide administrative support to project leadership and site teams
    • Assist with organizing meetings, team events, and presentations
    • Support preparation of team briefings and communications
    • Build effective relationships across project teams and support functions
  • Health, Safety & Compliance Support

    • Support implementation of site administration procedures relating to health, safety, and welfare
    • Assist with maintaining first aider information, notice boards, and administrative compliance records
    • Participate in training relevant to the role, including First Aid and Fire Marshal responsibilities where required
    • Ensure all administrative duties are performed in accordance with company policies and procedures
  • Continuous Improvement

    • Identify opportunities to improve administrative processes and office efficiency
    • Contribute to maintaining high standards of customer service and administrative excellence
    • Support improvements in site administration systems and ways of working

  • Accuracy and timeliness of administrative records and communications
  • Positive feedback from project teams, visitors, and stakeholders
  • Effective management of site office facilities, supplies, and administrative processes
  • Compliance with company procedures and site administration requirements

The duties listed are not exhaustive and may be varied from time to time as dictated by the changing needs of the Company. The post holder will be expected to undertake other duties as appropriate and as requested by his/her manager.

The post holder may be required to work at any of the locations at which the business of Sweet Projects is conducted.

Experience Required

  • Previous experience in an administrative, reception, or office support role
  • Experience working in a fast-paced office or project environment
  • Competent in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Experience managing records, communications, and office administration processes
  • Experience supporting multiple stakeholders and managing competing priorities
  • Construction or project-based experience desirable

Qualifications

  • GCSEs (or equivalent) including English and Mathematics
  • Business Administration qualification desirable
  • First Aid at Work qualification desirable
  • Fire Marshal training desirable
  • Evidence of continuous professional development relevant to administration and office support
