Job Details

Monday to Friday – 25 hours per week – 9.30am to 2.30 pm but flexibility with hours – Term Time Only + INSET Days

We are seeking to appoint a Site Team Administrative Assistant to join our team at the Avenue School, a vibrant, friendly SEN School supporting over 250 pupils aged 3 – 19 with a range of severe or profound learning difficulties, autism and physical disabilities.

In this role, you will be the backbone of our Site Team operations, ensuring the efficient operation of all facilities, maintenance activities, contractor management, compliance reporting and office services.

The role also includes providing reception cover as required, delivering a professional and welcoming front-of-house service to visitors, staff and external stakeholders.

Key Responsibilities

  • Provide effective administration support to the Site Team and Health & Safety and Compliance Manager
  • Maintain accurate records, databases, filing systems and documentation relating to Site, Facilities & H&S operations
  • Coordinate and schedule planned maintenance, inspections and servicing activities
  • Maintain contractor records, permits, risk assessments and compliance documentation
  • Assist with procurement activities including obtaining quotes, raising POs and liaising with suppliers.
  • Monitor stock levels of cleaning and facilities supplies and arrange replenishment when required

We Are Looking For

  • Proven experience in a facilities, office admin, or coordinator role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong verbal and written communication skills for dealing with suppliers, contractors and internal teams.
  • Outstanding time-management skills with the ability to prioritize urgent maintenance and other issues.
  • A proactive attitude with a knack for troubleshooting minor office issues independently
