Job Responsibilities
We are seeking an experienced SmartRecruiters Functional Lead / Functional Consultant to act as the product and business process expert for our recruitment platform. Working closely with Resourcing Subject Matter Experts (SME's), Digital teams and third-party suppliers, you will translate business requirements into effective functional solutions that maximise the value of SmartRecruiters.
You will play a key role in configuring, optimising, and governing the platform, ensuring compliance with Central Government requirements and integration with SAP Employee Central.
As a SmartRecruiters Functional Lead, your main responsibilities will be:
- Act as the functional lead and subject matter expert for SmartRecruiters.
- Provide expert advice and guidance on SmartRecruiters capabilities, functionality, and best practice.
- Ensure platform configuration supports recruitment policies, processes, legislative requirements, and organisational objectives.
- Lead workshops with HR, recruitment, and business stakeholders to gather, analyse, and document requirements.
- Design and implement improved end-to-end recruitment processes that enhance user and candidate experience.
- Analyse current recruitment practices and identify opportunities for automation, optimisation, and continuous improvement.
- Configure and maintain SmartRecruiters modules including Requisitions, Job Advertising, Candidate Management, Workflows, Approvals, Interview Scheduling, Offer Management, Reporting & Analytics, Embedded AI functionality, and MeVitae integration.
- Assess the impact of proposed configuration changes and ensure appropriate governance and controls are applied.
- Produce functional specifications, process maps, and supporting documentation in line with organisational standards.
- Develop meaningful recruitment dashboards, reports, and analytics to support decision-making.
- Ensure data quality, consistency, compliance, and effective reporting across the platform.
- Analyse recruitment performance metrics and provide recommendations for service improvement.
- Support workforce planning and wider organisational reporting requirements.
- Develop training materials, user guides, and knowledge articles.
- Deliver workshops and training sessions to business users and stakeholders.
- Support user adoption, engagement, and change management activities.
- Manage relationships with third-party suppliers and service providers.
- Ensure recruitment processes comply with employment legislation, GDPR, security, and audit requirements.
- Maintain accurate system documentation, process maps, and configuration records.
- Support integration activities with SAP Employee Central and other associated systems.

- Significant experience working with SmartRecruiters in a Functional Lead, Functional Consultant, Product Owner, or Business Systems role.
- Strong understanding of end-to-end recruitment and talent acquisition processes.
- Experience configuring recruitment workflows and business processes within SmartRecruiters.
- Proven ability to gather, analyse, and document business requirements.
- Experience facilitating workshops with senior stakeholders.
- Strong analytical and problem-solving skills.
- Experience managing third-party suppliers and service providers.
- Understanding of reporting, KPI development, and data management.
- Excellent communication, stakeholder management, and influencing skills.
Desirable
- Experience supporting SmartRecruiters implementations or large-scale transformation programmes.
- Experience integrating SmartRecruiters with HR, ERP, and identity management platforms.
- Knowledge of Civil Service recruitment processes.
- Experience working within Agile delivery environments.
- Familiarity with SAP SuccessFactors and SAP Employee Central.
- SmartRecruiters certification or equivalent practical experience.
