Description
Magdalen College is one of the most beautiful of the Oxford colleges with a hundred-acre site of ancient and modern buildings including the landmark Great Tower beside Magdalen Bridge. Accommodation is provided to over five hundred graduate and undergraduate students. The College also houses several residential Fellows and provides teaching and meeting rooms, offices and common rooms that are serviced seven days a week. The catering team also service the Senior Common Room, providing lunch and High Table dinners. The Buttery provides Breakfast, Lunch and Dinner provision for Middle Common Room and Junior Common Room members in Hall. The Old Kitchen Bar provides a snack bar service throughout the day as well as a licensed bar during the evenings, also providing a venue for students bops and functions. The College is a busy conference venue during the summer months and is also a popular destination for visitors to Oxford during the vacations.
The Snack Bar Supervisor is employed by the President and Fellows of Magdalen College and is responsible under them to the Operations Manager.
Key Responsibilities
Food & Beverage Service
- Lead the day-to-day operation of the Old Kitchen Bar and maintain high standards in line with the Catering Department’s Operations Manual and Code of Practice.
- Deploy staff and resources effectively to meet service requirements and maintain appropriate staffing levels.
- Supervise and train staff to deliver consistent food, beverage and customer service standards and identify opportunities for improvement.
- Work with the Head Chef and management team to respond to customer feedback and improve the service. Meet regularly with the Head Chef to review the operation of the Bar and agree service improvements.
- Support sales, cost control and waste reduction while maintaining agreed service standards.
- Provide meeting-room refreshments as required and, in the absence of the Butler, provide afternoon refreshments in the Senior Common Room, Smoking Room and associated areas when required.
- Deputise for the Food and Beverage Services Manager, Butler or Bar Supervisor (Alcohol) and undertake Duty Manager responsibilities when required. In the absence of the Bar Supervisor, maintain services to the Bar (Alcohol) and associated areas.
People Management
- Supervise, support and allocate work to permanent and casual staff, including the Snack Bar Assistant.
- Support rotas, working hours, days off and holidays in coordination with the Food and Beverage Services Manager.
- Maintain standards of conduct, presentation, dress and hygiene across the team.
- Provide training and day-to-day feedback on service, customer care, food safety and performance.
- Promote teamwork, mutual respect and a professional working environment.

Professional Responsibilities
- Work flexibly across the Old Kitchen Bar, wet bar, Senior Common Room, Hall and other catering areas according to operational need.
- Conduct themselves in a way befitting the position as a member of the Catering supervisory team and uphold the standards and principles of the Catering Department and the College.
- Support change, service development and continuous improvement within the Catering Department.
- Maintain appropriate staffing and service standards within college needs and budgetary requirements.
- Maintain the quality, presentation and safe operation of service areas, equipment and customer-facing facilities.
- Support waste reduction in the Old Kitchen Bar and ensure food and other waste is handled and recycled appropriately.
- Maintain up-to-date promotions and specials information and communicate operational issues or customer feedback to managers and colleagues.
Stock, Cash & Administration
- Manage stock levels and food ordering appropriately, keeping stockholding to practical levels.
- Order food and other required stock in accordance with agreed procedures, maintaining appropriate stock levels.
- Operate tills and control cash floats accurately, maintaining financial integrity.
- Monitor till sales and kitchen production information to support appropriate portion control, purchasing and waste reduction.
- Arrange casual labour when deputising for the Food and Beverage Services Manager.
- Complete required takings, cleaning, stock, training and other operational records accurately and on time.
Health & Safety
- Work with the kitchen representative and Food and Beverage Services Manager to maintain effective health and safety arrangements.
- Ensure food hygiene, food safety and cleaning standards are followed and relevant documentation and working practices are kept up to date.
- Ensure staff comply with hygiene, health and safety requirements and report issues promptly.
Skills, Knowledge and Expertise
Essential
- Previous experience in a supervisory role, ideally within catering, hospitality or a customer-service environment.
- Strong interpersonal, communication and team leadership skills, with the ability to supervise and develop permanent and casual staff.
- Commercial awareness, including an understanding of stock, waste, sales and cost control.
- Reliable, well organised and able to manage a busy service while maintaining high standards, with excellent timekeeping and good personal presentation.
- Professional attitude and a flexible approach to working across the Catering Department.
- Computer literacy, including the ability to use Word, Excel, Outlook and other relevant systems and records.
- Good understanding of food hygiene and health and safety, or willingness to develop this knowledge.
- Fluent spoken and written English.

Desirable
- C&G Certificate in Food & Beverage Service (Level 1), BETC equivalent or relevant hospitality qualification.
- Experience of staff training, cash handling, stock management and deputising for a manager or undertaking Duty Manager responsibilities.

- The salary for the post will be on the scale £26,707 – £33,002 per annum (Grade 4 of the College Unified Pay Scale), depending on skills and experience, plus Oxford Location Allowance of £1,730 per annum.

- The College provides for maternity leave on a basis that exceeds the statutory provisions. This is a day one entitlement and there is no qualifying period, women are eligible for 26 weeks’ maternity leave on full pay, followed by 13 weeks of leave on Statutory Maternity Pay (SMP) and 13 weeks of unpaid maternity leave. Arrangements for Adoption Leave, Shared Parental Leave, and Paternity Leave. Magdalen College has a priority claim for University nursery places.
Hours of Work
The hours of work will be full-time, 80 hours per fortnight on a two-week roster, with some split shifts to include weekends.
