Space Planning & Moves Coordinator

Contract: Infrastructure

Location: Glasgow, G2 5AD

Hours of work: 40

Contract Type: Permanent

We are seeking a Space Planning & Moves Coordinator to support a key client’s workplace planning, office reconfiguration and relocation activities.

This role is focused on the design and delivery of space planning solutions using AutoCAD, alongside the coordination of office moves and workplace improvement projects.

Job Description

We are looking for a proactive and organised individual who can build strong relationships with stakeholders, project managers, contractors and vendors.

Working primarily from home, with office attendance required, this is an opportunity to join a small team delivering rewarding and varied projects across a dynamic office portfolio.

Key Responsibilities

  • Deliver space planning rearrangements using AutoCAD.
  • Plan and implement move projects, tasks and move layout designs.
  • Manage day-to-day office moves, workspace reconfigurations and furniture requests.
  • Build strong relationships with stakeholders and project managers to understand upcoming works and project requirements.
  • Schedule works to provide best value for the client and customer.
  • Maintain the moves tracker and ensure all project information is kept up to date.
  • Raise and track purchase orders prior to works commencing.
  • Liaise with delivery managers, contractors and vendors, ensuring all completion documentation is in place and filed correctly.
  • Attend weekly coordination and scheduling meetings, providing project and workload updates.
  • Review and approve e-permits, access permits and contractor RAMS for small works.
  • Monitor workloads and report resource overutilisation or underutilisation.
  • Generate maintenance and service requests linked to move activities.
  • Support MAC process management and ensure all processes are maintained within a live management system.

  • Demonstrable experience using Computer Aided Design (CAD) software, specifically AutoCAD.
  • Proven experience delivering office space planning and workplace rearrangement projects.
  • Experience managing and coordinating move management projects.
  • Strong stakeholder engagement and contractor management skills.
  • Good understanding of Building Regulations relating to office design and workplace environments.
  • Experience managing financial tracking and operational activities.
  • Experience estimating project costs and presenting high-quality cost information to customers.
  • Strong communication skills with the ability to understand key financial, labour and material variables, identifying opportunities for improvement.
  • Excellent organisational and time management skills with the ability to deliver accurate information to stakeholders.
  • Full UK driving licence (access to a vehicle for business travel).
