Our commitment to excellence and customer satisfaction is at the heart of everything we do. We are currently seeking a dedicated Spare Parts & Service Administrator to join our team in Milton Keynes. This pivotal role supports our service operations and ensures smooth, efficient parts management, contributing directly to our continued success.
The Role
As a Spare Parts & Service Administrator, you will be central to the smooth running of our service department. Your organisational skills and attention to detail will help us maintain high levels of customer satisfaction by ensuring prompt and accurate handling of spare parts orders and service documentation. You will act as the vital link between our customers, service engineers, and suppliers, enabling efficient communication and service delivery.
Key Responsibilities
- Manage and process spare parts orders accurately and promptly, ensuring timely delivery to customers and engineers.
- Maintain and update the parts inventory database, monitoring stock levels and liaising with suppliers to replenish stock as needed.
- Coordinate service schedules and documentation, supporting the service team with job allocation and progress tracking.
- Handle customer enquiries related to spare parts and service requests, providing excellent customer service and resolving issues efficiently.
- Generate and process service reports, invoices, and related paperwork in line with company procedures.
- Work closely with the sales and technical teams to ensure accurate information flow and customer satisfaction.
- Assist with continuous improvement initiatives in parts management and service administration processes.

Qualifications & Skills
- Previous experience in a spare parts, service administration, or similar role within the retail or related industries is highly desirable.
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication skills, both written and verbal, with a friendly and professional approach.
- Proficient in Microsoft Office applications, especially Excel and Outlook; experience with ERP or inventory management systems is an advantage.
- Attention to detail and accuracy in data entry and order processing.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Problem-solving mindset and willingness to take initiative to improve processes.
