About the Role
We are seeking a Spares Co-ordinator to join our team in Leeds. This role exists to provide efficient administrative and customer support services by managing customer orders, coordinating deliveries, liaising with internal departments and suppliers, and ensuring a high level of customer satisfaction. You will be responsible for maintaining effective communication across the business while supporting the sales and service functions. This opportunity would suit an experienced customer service individual looking to join a stable, international engineering business with long-term growth plans.
What You’ll Be Doing
- Receive and process customer orders via telephone and email.
- Accurately enter and manage sales orders using NetSuite.
- Raise purchase orders for non-stock parts and monitor progress through to receipt.
- Respond promptly and professionally to customer enquiries regarding orders, deliveries, product availability, and general requests.
- Provide customers with updates on order status and expected delivery dates.
- Liaise with Engineering teams regarding drawing requests, technical queries, and customer-specific requirements.
- Work closely with Warehouse and Service departments to ensure timely fulfilment of customer orders.
- Arrange transportation for international shipments of Factivate and Denox products.
- Coordinate with suppliers regarding the shipment and movement of Factivate and Denox materials.
- Arrange collections for reagent waste in line with company procedures and applicable regulations.
- Support adherence to health, safety, environmental, and quality standards within all aspects of the role.
- Build and maintain positive working relationships with customers, suppliers, and colleagues.
- Ensure all activities comply with relevant health, safety, and environmental (HSE) regulations. (Responsibilities will reflect business priorities and may evolve in line with operational needs.)

What We’re Looking For
Essential
- Experience in customer service, sales administration, order processing, or supply chain coordination roles.
- Proficiency in CRM/ERP systems (Oracle NetSuite preferable).
- Strong Microsoft Office skills, particularly Outlook, Excel, and Word.
- Excellent communication and interpersonal skills.
- Ability to manage competing priorities in a fast-paced environment.
- High attention to detail and commitment to quality.
Desirable
- Experience arranging domestic and international shipments.
- Experience within a manufacturing, engineering, scientific, or industrial environment.
- Familiarity with export documentation and logistics processes.
- Experience working within an ISO 9001 accredited organisation.
- Understanding of engineering drawings and technical documentation.

Working Pattern & Travel
Full time, 37.5 hours per week (Monday to Friday) with one day per week working from home. This role is a 12 month fixed term contract.
Salary
£30,000- £35,000 per annum.
