This position reports to:
Support Services Manager
Working as part of a team in our Aberdeen facility, the Spares Coordinator supports service sales with spare parts enquiries and coordinates the entire customer supply process, implementation, and execution, to achieve high-level service quality, operational efficiency, on-time delivery, order growth, and customer satisfaction.

Your Role And Responsibilities
In this role, you’ll help run what runs the world, by taking on meaningful work that drives real impact.
- Preparing quotations in line with procedures and global policies.
- Accurately entering customer orders and process purchase orders, ensuring compliance with quotations, FCM, delivery dates, customer requirements, and COTD targets.
- Managing delivery and export documentation, including shipment coordination, tagging, packing, certificates of origin, and compliance with customer and import/export requirements.
- Maintaining ERP master data in line with global reporting and import/export requirements.
- Supporting inventory management, goods movements, and replenishment activities for Caspian locations.
- Invoicing delivered orders in a timely manner through customer portals, resolve unmatched and disputed invoices, and support collection of overdue payments.
- Managing repairs, service and spares orders, including the RMA process with factories, and reviewing backlog reports monthly to ensure invoicing is complete.
- Providing wider team support with imports, expediting, purchasing activities, and shipment coordination as required.

Qualifications For The Role
- Experience in a customer service or end-to-end order management environment, with excellent communication and listening skills.
- A collaborative team player with a flexible and adaptable approach to work.
- Self-motivated and proactive, with the ability to manage and prioritise workloads effectively to meet customer and business requirements.
- Passionate about delivering exceptional customer service and building positive customer relationships.
- Strong IT skills, including proficiency in Microsoft Office applications such as Word, Excel, and PDF tools.
- Experience using SAP for Sales Order Processing and Purchasing activities.
- Proven ability to plan, organise and manage multiple tasks both independently and as part of a wider team.
- Excellent attention to detail, ensuring a consistently high level of accuracy and quality in all aspects of work.
