Specialist Vetting & Onboarding Coordinator
Location: Kirkby, Liverpool
Work Pattern: Hybrid – (2 days in the office, 3 days from home after initial onsite training period where office attendance will be more frequent)
Salary: £27,500 - £28,000
We're looking for a Specialist Vetting & Onboarding Coordinator to support the Team Manager in leading a busy and high-performing team. This is an excellent opportunity for someone with strong screening and vetting expertise who enjoys coaching colleagues, leading process improvements, and ensuring outstanding service delivery.
About the Role
As a Specialist Vetting & Onboarding Coordinator, you'll play a vital role in coordinating team resources, supporting operational delivery, and maintaining high standards across all screening and vetting activities. Acting as a subject matter expert, you will provide training, guidance, and technical support to team members while helping drive continuous improvement and change initiatives.
What You’ll Be Doing
- Coordinate team workload, resources, rotas, and workflow queues to ensure service delivery targets are met.
- Support with processing team administrative tasks, such as Right to Work Checks, Visa Expiry, Occupational Health and Audit management.
- Provide coaching, training, and ongoing support to Vetting & Onboarding Administrators.
- Develop and maintain process documentation, training materials, guides, templates, and team resources.
- Monitor quality standards and provide performance feedback to support colleague development.
- Handle escalated queries, investigations, and complaints, ensuring timely resolution.
- Support and lead change projects and continuous improvement initiatives.
- Undertake second-check approvals and quality assurance activities.
- Assist with onboarding activity relating to TUPE transfers and acquisitions, including Right to Work and employment screening checks.
- Maintain expert knowledge of vetting legislation, policies, systems, and best practice.

Skills & Experience
- Desirable knowledge of screening and vetting processes, including criminal record checks, references, BPSS, UK Security Vetting, and BS7858.
- Strong understanding of UK Right to Work legislation and acceptable documentation requirements.
- Experience using Multiple HR and vetting systems, particularly those used with our process, such as SAP, ServiceNow, UK Security Vetting, Access Screening System, OpenText, Occupational Health systems, Spinifex, RTW App, and MyHR Online.
- Excellent communication and stakeholder management skills.
- Proven ability to coach, train, and support colleagues to achieve high performance.
- Strong organisational skills with the ability to prioritise workloads and coordinate resources effectively.
- A proactive approach to problem-solving, continuous improvement, and change management.
