The Role
The Sport, Exercise and Health Division is seeking an enthusiastic and motivated Sports Administrator (Community Programmes) to join the Business Development Team, which provides centralised business and operational support across the Division.
The role is responsible for delivering high-quality administrative support to the Division’s community sport programmes, currently including the University of Bristol Swim School, Junior Tennis Programme, and Hockey Talent Academy. Working closely with programme leads, coaches, participants, parents, and external partners, the postholder will help ensure the smooth and efficient day-to-day operation of these programmes while providing an excellent customer experience.
As a key member of the Business Development Team, the successful candidate will support participant administration, customer communications, payment and direct debit processes, stakeholder coordination, and programme delivery. The role plays an important part in supporting the growth, sustainability, and income generation of the Division’s community programmes, whilst maintaining high standards of service and operational excellence.
The postholder will contribute to the Division’s strategic priorities by helping create inclusive opportunities for participation, supporting the health and wellbeing of the university and wider community, and fostering a sense of belonging through sport and physical activity.
The role offers the opportunity to work within a collaborative and customer-focused team, supporting programmes that make a positive impact on participants of all ages and abilities. The successful candidate will be proactive, organised, and committed to delivering an outstanding service that enhances the experience of our customers, partners, and community stakeholders.
What Will You Be Doing?
The successful postholder will provide high-quality administrative support for the University of Bristol’s Community Programmes, including the Swim School, Junior Tennis Programme, and Hockey Talent Academy. As part of the Business Development Team, they will play a key role in ensuring the smooth day-to-day operation of these programmes and delivering an excellent customer experience.

Key responsibilities include:
- Managing programme mailboxes
- Responding to customer enquiries
- Maintaining participant records
- Processing registrations, cancellations, and amendments
- Administering payment and direct debit processes
- Communicating programme updates and changes to participants, coaches, and colleagues
- Ensuring information is accurate and timely across all communication channels
The role will involve supporting programme leads, coaches, partners, and suppliers with a range of operational and administrative tasks, including compliance requirements, event administration, and stakeholder coordination. The successful candidate will also report and monitor system issues, support volunteer and staff administration processes, and contribute to programme reporting and evaluation activities.
A strong focus will be placed on customer service, with the postholder helping to resolve enquiries efficiently, gather participant feedback, and identify opportunities for continuous improvement. They will be expected to escalate complex or sensitive issues appropriately and contribute to maintaining high standards of service delivery.
The postholder will work collaboratively within the Business Development Team, attending regular meetings and supporting the Division’s administration resilience programme by providing cover for colleagues when required. Through their work, they will contribute to the growth, sustainability, and income generation of the Division’s community programmes while supporting the University’s strategic aims of inclusion, wellbeing, and community development.

You Should Apply If
We are looking for an organised, customer-focused administrator who enjoys working in a busy and varied environment. You will have experience providing high-quality administrative support, managing competing priorities, and maintaining accuracy and attention to detail while meeting deadlines.
You will possess strong communication and interpersonal skills, enabling you to build effective relationships with customers, colleagues, coaches, partners, and other stakeholders. You will be confident responding to enquiries, resolving issues professionally, and delivering an excellent customer experience.
The successful candidate will have excellent organisational skills and experience managing information across multiple systems, with the ability to maintain accurate records and process data efficiently. A good working knowledge of Microsoft 365 applications, databases, and spreadsheets is essential. Experience of participant registration, payment administration, customer communications, or programme administration would be advantageous.
Most importantly, you will be a proactive team player committed to delivering excellent service and supporting the continued success and growth of our community programmes.

- Work pattern: 21 hours per week

- Salary: £28,778 - £32,080 per annum pro rata
