Workdays & Hours: Monday – Friday 8am – 5pm; Some evening/weekend work required. No remote work available for at least the first six months

About the Role

A Sr Administrative Assistant job is available with the City of Fort Worth Financial Management Services Department (FMS) supporting the Risk Financing Fund. FMS supports the City’s Property & Casualty risk management program by administering self-insured claims, coordinating claim recoveries and subrogation efforts, and supporting the City’s commercial insurance program. The division works with City departments, claimants, vendors, and other stakeholders to manage financial risk, protect City resources, and ensure claims and related financial activities are processed accurately, timely, and in accordance with City policies and procedures.

Minimum Qualifications:

  • Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources, or related field
  • Three years of increasingly responsible administrative and fiscal management experience in support of a department, division, or major service area
  • One year in a supervisory or lead capacity

Preferred Qualifications:

  • Experience with financial processing, including accounts payable, invoice reconciliation, and revenue tracking
  • Experience with claims administration, risk management, insurance, subrogation, or a related operational environment
  • Proficiency using enterprise financial, claims, or asset management systems such as PeopleSoft, Origami, VueWorks, or similar systems
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools

Responsibilities

The Sr Administrative Assistant job responsibilities include:

  • Provides administrative and customer service support for Risk Fund operations, including responding to and routing claims-related phone calls and inquiries, receiving and distributing incoming mail and documentation, processing incoming correspondence, and coordinating follow-up with City departments, claimants, and other stakeholders
  • Supports claims intake and workflow by establishing new claims, tracking incoming reports and documentation, distributing claims to adjusters, and monitoring claims queues to promote timely processing
  • Supports subrogation and recovery activities by reviewing police reports for potential property damage claims, establishing and maintaining subrogation files, reconciling repair costs and invoices, and assisting with releases and collection activities
  • Receives, reviews, reconciles, and processes invoices, receipts, accounts payable documentation, deposits, and other financial transactions in accordance with City policies and procedures
  • Maintains accurate claims, financial, and administrative records across systems such as Origami, PeopleSoft, and VueWorks and ensures documentation is properly filed, routed, and retained
  • Assist with the annual cost allocation process for Property & Casualty claims, lawsuits, and commercial insurance programs
  • Assist in managing contracts and coordinating and facilitating new agreements or renewals
  • Assist with the development, monitoring, and oversight of the $17M Risk Fund operating budget, including budget transfers, general ledger transactions, and monthly forecasting reports
  • Performs other related duties as assigned
