Role summary

As Stock & Facilities Lead you will be responsible for ensuring that the service maintains the correct level of clinical & non-clinical stock by working closely with the Consultants, Management team and the Operational Director.

The Stock & Facilities Lead is a key member of our team, taking regular stock level checks for the business and continuously looking for financial opportunities to ensure that our service is cost effective. You will be placing orders, processing stock through the Stock Management System and liaising externally with key suppliers to maintain our stock levels. You will also be involved in assisting forecasting supply and demand to prevent overstocking and running out of stock.

You will have a friendly and accessible personal manner and will be able to deliver an effective service to Newmedica Oxfordshire. You will be able to work within small teams to maintain and enhance processes and maximise quality and efficiency. The OJV has developed a strong relationship with the local ICB and neighbouring Trusts, and this post will be a pivotal part of that ongoing relationship.

What will the role involve?

Stock Control:

  • Placing all stock orders to ensure that theatre, clinic and treatment room have the consumables required in accordance with the schedule
  • Be lead for Genesis stock control system
  • Chase late orders, receive in stock and ensure stock rotation minimizes wastage
  • Maintaining stock levels in line with the schedule versus managing the cash flow
  • Ensuring that all reusable stock is turned around in a timely manner according to the contract versus the schedule
  • Ensure that records are maintained regarding stock orders versus stock received so that finance can approve invoices
  • Ensure that records are maintained regarding the stock received, transferred to clinic date etc. as per the medicines management policy

Finance & Procurement:

  • Ensure all invoices are paid correctly
  • Ensure procurement is carried out correctly. This includes managing large capital equipment.
  • Ensuring there is an organised approach to doing things correctly
  • Ensure private patient lenses are ordered, returned and paid for correctly.

Facilities Management:

  • Lead on all areas of facilities management including organisation of repairs, cleaning, and suppliers

What skills and experience do I need for the role?

To have a full understanding of the pathways and resources needed for various clinic appointments as well as theatre

To gain comprehensive knowledge of stock requirements per clinical session and surgeon’s preferences with theatre consumables

To have a full understanding of the CQC regulatory standards

We are looking for individuals who have:

  • GCSE’s in at least Maths and English
  • Experience in an administrative role and can understand and deliver within a complex working environment.
  • Good organisation skills and the ability to multi-task.
  • An ability to tailor their approach to a diversity of patient needs.
  • An outstanding telephone manner with the ability to adapt approach to different situations.
  • Excellent verbal and written communication skills.
