The Role

A Global Enterprise SaaS organisation is looking for an Executive Briefing Coordinator to join its Executive Programs team.

In this role, you will use strong project management, coordination, and communication skills to partner with internal teams and create highly tailored executive briefing experiences for users, prospects, sales teams, executives, and subject matter experts.

You will manage day-to-day Executive Programs activity, ensuring briefings are planned, scheduled, and executed effectively. This role is suited to a proactive, adaptable self-starter who is comfortable working in a fast-paced sales environment and managing multiple priorities.

Responsibilities / Role Specific Context

  • Partner with the Executive Programs team, Executive Briefing Manager, and account teams to design and develop personalised briefings for users and prospects.
  • Build the assets, documentation, and resources required to support successful executive briefings.
  • Schedule and confirm executives, discussion leaders, and subject matter experts for briefing sessions and preparation calls.
  • Prepare key briefing resources, including briefing documents, agendas, and content folders.
  • Act as a central point of contact for Sales teams throughout the briefing confirmation and planning process.
  • Track and maintain Executive Programs data across relevant business systems and collaboration tools.
  • Identify and resolve scheduling conflicts as they arise.
  • Host and facilitate onsite user and prospect groups when required.
  • Coordinate operational requirements including room readiness, attendee pre-registration, branded materials, follow-up surveys, notes, and contact documentation.
  • Manage onsite logistics in partnership with internal facilities, security, and catering teams to deliver a seamless executive experience.

Minimum Requirements

  • 4+ years of experience in an Executive Briefing Center, events coordination, recruitment coordination, or a closely related role.
  • Demonstrated experience planning, producing, facilitating, and executing sales meetings and/or executive briefings.
  • Strong written and verbal communication skills.
  • Exceptional organisational skills, attention to detail, and professionalism.
  • Ability to work effectively as part of a team while also operating autonomously.
  • Ability to adapt to changing priorities and manage multiple projects simultaneously.
  • Confidence working with senior stakeholders, sales teams, executives, and cross-functional partners.

Preferred Skills

  • Experience gathering, formatting, and preparing briefing documents for executive audiences.
  • Experience using tools such as Salesforce, Slack, Google Drive, Gmail, and Google Calendar.
  • Previous experience supporting onsite executive events, briefings, or customer-facing programmes.
  • Strong project management and stakeholder coordination skills.
  • Ability to anticipate operational challenges and resolve issues proactively.
