ASU London - Student Administration Officer

Salary: £40,000 per annum
Hours: Full Time
Contract: Permanent
Location: Central London (Hybrid Working)

About the Role

Could you deliver accurate, timely and compliant student administration across the academic lifecycle, supporting assessment, progression, awards and regulatory reporting through high-quality student record management?

Main Responsibilities

Student Academic Lifecycle

  • Create, maintain and update student records within the student records system, ensuring accuracy and completeness (including changes regarding programmes, modules, interruptions, withdrawals, visas, finances).
  • Manage student academic administrative processes such as enrolment, registration, module selection, assessments, external examination, progression, award and graduation.
  • Implement approved decisions relating to assessment outcomes, progression and awards.
  • Monitor student progress through report generation, for example student attendance and engagement, access and participation.

Academic Administration, Quality and Governance

  • Administer Assessment Boards and related assessment processes, including agenda and minutes preparation, results processing and implementation of decisions.
  • Produce and verify official documentation such as transcripts, award letters and certificates.
  • Provide secretariat support to academic and regulatory committees as required.
  • Administer quality assurance processes (e.g. annual monitoring, external examiner workflows, PSRB documentation) in line with approved policy.
  • Manage the administration of academic integrity cases and assessment-related appeals.

Compliance and Data

  • Prepare and quality-check student data for statutory and regulatory returns (e.g. HESA, OfS) and internal reporting.
  • Monitor student records for compliance with Student Finance, UKVI, fee liability and institutional scholarship requirements.
  • Ensure accurate records of student contractual and status information in the student record system.
  • Ensure accurate maintenance of students’ records in line with CMA expectations.

What We're Looking For

Essential:

  • Experience working in a higher education administrative function (e.g. Registry).
  • Familiarity with academic regulations and student lifecycle processes.
  • Minimum one year’s experience using the EBS student record system with extensive knowledge of designing, building and running reports, and ability to train and direct colleagues in the functionality and usage of EBS.
  • High attention to detail and accuracy in data handling and processing.
  • Good organisational skills and ability to meet deadlines.
  • Proficient in IT systems and Microsoft Office.

Desirable:

  • A degree or relevant qualification.
  • Experience of supporting academic committees.
  • Understanding of equality, diversity, and inclusion in a higher education context.
