Job Title: Studio & Community Manager

Reporting To: Head of Ops

Working Hours: 8:30am – 5:00pm (with a one-hour lunch break)

Work Location: Protein Studios, 31 New Inn Yard, London, EC2A 3EY

Salary: D.O.E (Salary expectations will be discussed prior to confirmation of the first interview) Note: we're open to different levels and this will be reflected in the salary 😊

About Us:

Protein Studios is a creative hub in the heart of the Shoreditch Triangle. We bring together a 140-strong co-working community across flexible memberships and private offices, a 17,000 sq.ft event space spanning seven interconnected studios, and an onsite café - all under one roof.

Overview:

Protein Studios is looking for an energetic, detail-oriented Studio & Community Manager. The role spans building management, community events and memberships - the role is varied, hands-on and perfect for someone who thrives on keeping busy and wearing many hats.

You'll be the first point of contact for our members: keeping the space running smoothly, maintaining high standards, managing suppliers and overseeing everything from front of house to studio overheads.

Key Responsibilities:

Studio Management

  • Open the studio daily at 8:30am, completing the Opening Standards Checklist to ensure the setup meets a high standard
  • Open the event space, ensuring it is ready for the day ahead
  • Conduct daily walkthroughs to identify any maintenance needs
  • Continuously seek ways to improve the studio, whether through updated processes, new procedures or enhancements to the space
  • Oversee all building maintenance and repairs, engaging reliable suppliers at competitive rates
  • Carry out minor repairs and fixes wherever possible to maintain the studio's functionality
  • Act as the primary point of contact for suppliers and contractors
  • Monitor, order and replenish studio consumables as needed to ensure seamless daily operations
  • Ensure full compliance with health and safety regulations by conducting routine checks and tests, keeping all documentation up to date, and reviewing key materials such as risk assessments and company policies
  • Manage building security, including the assignment and tracking of keys and ensuring the CCTV system is operational at all times
  • Keep the business Google Drive well organised, with all necessary documents and records updated and easily accessible

Community Management

  • Act as the primary point of contact for members, ensuring their needs are addressed promptly and professionally
  • Oversee and manage Archie (our membership platform) to maintain accurate records of members and teams
  • Manage the member floor plan, keeping desk allocations up to date on a monthly basis
  • Create a welcoming and supportive environment to drive high member satisfaction
  • Address member concerns efficiently to maintain a positive community atmosphere
  • Respond to member enquiries in a timely manner and conduct tours for prospective members, highlighting the benefits and unique features of the space
  • Plan and implement community initiatives to foster connections among members, including networking events and tailored introductions
  • Manage a comprehensive calendar of events - including social gatherings and networking opportunities
  • Manage members' events outside of working hours (TOIL will be offered for any hours worked outside of your contracted hours)
  • Oversee our member perks programme and identify new opportunities with local partners
  • Collaborate with the Marketing Manager on the internal members' newsletter

Member Sales

  • Manage the membership enquiries from initial enquiry, to site visit and contract stage
  • Oversee the onboarding and offboarding process, ensuring members transition seamlessly into and out of the community, including the creation of membership agreements
  • Work with the Marketing Manager to plan and deliver social media and advertising content to boost member enquiries and leads

Front of House

  • Handle incoming calls professionally and efficiently
  • Oversee the distribution of post, deliveries and packages
  • Liaise with members regarding couriers and collections
  • Keep the space looking presentable throughout the day

Finance

  • Manage receipts and expenses related to building and studio operations
  • Review building and member-related budgets, ensuring we are receiving the best prices and service available
  • Oversee the maintenance and repairs budget, ensuring efficient allocation of resources
  • Oversee the members' entertainment budget
  • Approve all invoices related to building and studio expenses
