Studio Manager (Architecture)

About The Role:

We are working with a mid-sized, international architecture studio who boast an impressive portfolio of projects across various sectors, who are seeking a new Studio Manager to join their team in London on a permanent basis.

This is a broad and hands-on role, suited to someone who enjoys taking ownership and being at the heart of how a creative practice operates. Working closely with the COO and senior leadership team, you will be responsible for keeping the studio running smoothly across people, facilities, finance administration, IT, compliance and general operations. The role would suit a real go-getter; someone who is proactive, takes initiative and is confident dealing with and supporting employees at all levels.

Key Responsibilities:

• Managing HR administration, including contracts, recruitment, onboarding, offboarding, leave and personnel matters
• Coordinating new starter inductions, appraisals and visa documentation
• Managing the practice management system, including new staff and project set-up, timesheet approvals, corrections and reporting
• Supporting the finance team with queries, credit card reconciliations and purchasing
• Overseeing the day-to-day running of the studio, including maintenance, suppliers, equipment contracts, utilities, broadband, waste management and building/landlord relationships
• Taking responsibility for office health & safety, risk assessments, fire safety and associated administration
• Acting as Fire Warden and First Aider
• Providing frontline IT support and liaising with the external IT provider, including hands-on workstation and server room administration
• Coordinating ISO accreditation, audits, documentation, registers and policy reviews alongside the COO
• Supporting the directors with timesheets, memberships and insurance administration
• Managing the office’s day-to-day requirements, from supplies and cleaners to mobile phone contracts and pest control
• Coordinating the practice’s various insurance policies, including professional indemnity, employers’ liability, cyber, business travel and other specialist cover
• Supporting the bids and tenders process, including monitoring tender opportunities, portal registrations, submissions, PQQ administration, research and maintaining the bid tracker
