Fixed-term maternity cover: 10 months, starting November 2026

About Gramafilm
Gramafilm is a branded film and content studio. Since 2008, we've told stories for world-class brands, including Google, Aston Martin, and Barclays. We're a close, hands-on team of producers, directors, designers, and makers and our Shoreditch studio is where all of that happens.
The Role
This is a maternity cover role, so we're looking for someone who can step in with confidence, pick things up quickly, and keep standards high while our current lead is away. It's a varied, fast-paced, and people-facing job that touches every corner of the business, from studio operations, IT, and HR administration to hands-on production support and shoot logistics. We’re looking for someone with experience in project management and office management and is confident to step into a busy role at an expanding studio.
What You'll Be Doing
Running & Nurturing the Studio Space
You will own the physical space, ensuring our studio is a warm, inviting, and positive environment that the whole team loves working in and clients are excited to visit. As the main contact for building management, cleaners, and external contractors, you will proactively spot, fix, or chase issues before they arise. You’ll keep the studio properly stocked with tea, coffee, snacks, and supplies, taking pride in keeping common areas tidy and bins emptied so the space always looks its best. You will also handle keys, security access, while managing studio Health & Safety standards as a designated First Aider and Fire Marshal.

Being the Central Point of Contact & Executive Support
You will answer the studio phone and general enquiries, directing them to the right person promptly and warmly. You'll greet visitors, look after clients, organise lunches, and manage incoming and outgoing post, couriers, and studio deliveries. Beyond front of house, you will serve as a go-to pillar of general support for the team including managing meeting room bookings, and providing ad-hoc administrative help for leadership.
People, HR & Operations Admin
You will support the Head of Production and wider business with team admin, helping to manage recruitment for permanent and freelance hires, schedule interviews, issue NDAs, draft contracts, and conduct right-to-work checks. You'll run seamless studio and IT inductions for new joiners, manage employee leave tracking for holidays, TOIL, and sickness, and handle benefits administration. As an approachable and discreet team member, you’ll act as a trusted point of contact for staff requests.
IT & Systems Administration
You will manage essential IT operations along with overseeing user access across core software platforms. Additionally, you will manage supplier and vendor contracts, and keep company document templates updated.
Production, Logistics & On-Set Support
You will support the production team with equipment hire, couriers, filming permits, and ordering food for set. Working with producers, you'll coordinate UK and international shoot travel, accommodation, ground transport, itineraries, carnets, and visa applications, while maintaining the central shoot calendar and tracking documents. You'll also provide hands-on creative support when needed, helping with remote or on-set prop sourcing, staging, styling, purchasing, and general runner duties on shoot days.

Studio Culture & Events
You will plan and run studio social occasions, from Thursday drinks and team birthdays to major events like summer and Christmas parties. You'll look after team morale, coordinate gifts for bigger events such as weddings, new babies, and leaving presents.
Who We're Looking For
An interest in film and content production is a huge plus. Ideally you'll have experience in a studio, office, or front-of-house role within a creative agency, media, or film production environment. You're organised, calm under pressure, and naturally notice what needs doing before anyone has to ask. You communicate clearly and warmly with everyone from couriers and freelancers to executive clients.

Working With us
You'll be based in our Shoreditch, London studio five days a week, with core hours from 10:00 AM to 6:00 PM. You'll get 25 days' holiday pro rata plus UK bank holidays, a pension contribution, and private healthcare.
