Supply Manager | The Cherwell Hospital, Banbury

Full Time | Permanent

The Role

We have an exciting opportunity for an experienced and motivated Supply Manager to join our team at The Cherwell Hospital. Reporting directly to the Head of Operations, you will be responsible for the effective management of the hospital’s Supplies function, ensuring our clinical and non-clinical teams have access to the products and materials they need to deliver an excellent service to our patients. You will also work closely with and support the Central Procurement and Supply Chain Team as required.

This is a key role within the hospital, combining team leadership, inventory and stock management, purchasing, supplier management, and continuous improvement.

You will lead and support the Supplies team while developing strong relationships with departments across the hospital. You will ensure robust processes are in place to manage stock effectively, minimize waste, and maintain accurate records, while ensuring purchasing activity is carried out in line with organizational policies and procedures.

What You’ll Be Doing

As Supply Manager, your responsibilities will include:

  • Leading, motivating, and supervising the Supplies team, providing appropriate training, guidance, and support.
  • Supporting all aspects of people management, including recruitment and selection, staff deployment, performance reviews, attendance management, and employee relations.
  • Ensuring departmental audits and performance reviews are completed as required, with appropriate actions taken to address any issues identified.
  • Ensuring the implementation of and compliance with all relevant organizational standards, policies, and procedures within the department.
  • Ensuring goods and services are purchased to meet the requirements of the hospital and in accordance with organizational procurement policies and procedures.
  • Ensuring best practice in inventory and materials management is followed throughout the department.
  • Managing and maintaining appropriate stock levels to ensure products are available when required by hospital departments.
  • Undertaking and managing regular stock takes in accordance with organizational policy and ensuring accurate records are maintained.
  • Ensuring consignment stock is accurately recorded, appropriately managed, and that associated contractual obligations are met.
  • Ensuring systems and processes remain up to date to provide accurate visibility of stock levels, including both owned and consignment stock.
  • Proactively managing stock to minimize wastage, unnecessary expenditure, and obsolescence.
  • Liaising with suppliers and monitoring the quality and effectiveness of the services provided to the hospital.
  • Working with suppliers to resolve issues and support the delivery of an efficient and reliable supply service.
  • Establishing and maintaining strong working relationships with Heads of Department and colleagues across the hospital.
  • Developing robust service level agreements to ensure hospital departments receive an effective and responsive Supplies service.
  • Supporting the introduction of new products and items into the hospital.
  • Ensuring all records relevant to the area of responsibility are accurately maintained, managed, and reported in accordance with required procedures and timescales.
  • Managing product catalogues, vendor information, and price files, ensuring information is accurate and kept up to date.
  • Ensuring the safe, efficient, and compliant use of materials throughout the hospital.
  • Working collaboratively with the Central Procurement and Supply Chain Team to support wider organizational objectives.
  • Identifying opportunities to improve the quality and overall effectiveness of the materials management function.
  • Reviewing existing systems and processes and identifying opportunities for continuous improvement.
  • Providing a professional, responsive, and customer-focused service to departments throughout the hospital.

What You’ll Bring With You

Essential

  • At least two years’ experience working in supplies management.
  • A good general understanding of procure-to-pay processes and supporting systems, including product and vendor catalogue management.
  • Experience of procurement and purchasing processes and databases.
  • Experience of raising purchase orders through an MRP system.
  • Experience of investigating and resolving invoice queries.
  • Strong knowledge of inventory and materials management principles.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills with the ability to effectively manage and prioritize a varied workload.
  • The ability to work effectively under pressure and manage competing priorities.
  • Excellent attention to detail and a commitment to accuracy.
  • Excellent communication, interpersonal, and customer service skills.
  • The ability to develop positive working relationships with colleagues and stakeholders at all levels.
  • The ability to work effectively both independently and as part of a wider team.
  • A self-motivated and proactive approach to work.
  • The ability to deal effectively with ambiguity and changing priorities.
  • A strong commitment to delivering excellent standards of service.
  • Knowledge of business improvement tools and principles.

Desirable

  • A confident working knowledge of SAP.
  • Experience of raising purchase orders using SAP.
  • Experience of investigating and resolving invoice queries within SAP.
  • Experience of inventory management and stock control.
  • Familiarity with electronic contract management systems and e-procurement systems.
  • Familiarity with supplier due diligence processes and associated systems.

Where You’ll Be Based

You will be based at The Cherwell Hospital in Banbury, working as an integral part of the hospital team. As Supply Manager, you will work closely with both clinical and non-clinical departments and will have an important role in ensuring our teams have the products, materials, and supplies they need to provide an excellent experience for our patients.
