As a Support Assistant Officer for ArtForms you’ll thrive on seeing the service run smoothly, supporting office colleagues and helping our teaching team to fulfil their roles as effectively as possible.

About You

As a Support Assistant you’ll will bring to the role:

  • The ability to support all colleagues across the service with their day to day workload and to be a first point of call for a wide range of service customers
  • A good understanding of the use of the MS Office package and a willingness to learn additional bespoke software
  • A willingness to work flexibly as part of a team to support the ambitions and aspirations of the service
  • A commitment to supporting the service in the teaching and learning of music and an interest in developing your own understanding of the importance of music to modern society, both culturally and in education

About The Role

As a Support Assistant in the ArtForms team you’ll use your own skills and experience to support office colleagues and the wider teaching team, dealing with a wide range of day to day task both relevant to the immediate team and the wider council. This may include providing basic guidance to teaching colleagues around processes such as travel and casual claims.

The role is integral to supporting our teaching offer to Leeds schools and academies; ArtForms has a relationship with the majority of educational settings in Leeds and the effectiveness of our admin team is an important part of the relationships we build with those settings.

The role is office based, as part of our support to teaching colleagues requires us to have an open and staffed office Monday – Friday, 8:30am to 5pm.

This role is based in the UK. Home Office guidance states that candidates must evidence their right to work in the UK prior to commencing employment, either as a UK or Irish citizen, under the EU Settlement scheme or having secured any other relevant work visa.

Job Description

Job purpose: ArtForms (Music) is the music tuition service of the council, based within Children and Families team. The service delivers music tuition in a variety of formats and locations and we have a traded relationship with the majority of school settings in Leeds.

Our administrative function provides support to service management and our team of peripatetic teaching staff working in Leeds schools, academies and music centres, as well as working closely with the school settings we provide tuition to. ArtForms also manages part of a substantial centrally funded budget through West Yorkshire Music Hub (WYMH), a body of which we are a lead partner.

Our staff use a range of computer programmes and systems to support the work of the service and interact with customers and colleagues throughout school sites and the wider council.

Responsibilities

  • Working with high levels of accuracy for tasks such as checking documents and recording numerical and alphabetical information.
  • Supporting staff
  • Providing a high level of customer service to service users
  • Work on your own, manage your own workload and use your initiative to adhere to time scales and deadlines.
  • Ability and experience to carry out administrative duties including use of the full range if MS Office software, use of other software as appropriate including council specific systems (with training) and our own inhouse database.
  • Willing to abide by the Council’s Equal Opportunities and Health and Safety Policies.
  • Willing to actively participate in training and development activities to ensure up to date knowledge, skills and continuous professional development.

Qualifications

It is essential that the postholder has a minimum of GCSE Maths and English (grade C or above), or a recognised equivalent

Essential requirements

It is essential that the candidate should be able to demonstrate the following criteria for the post. Candidates will only be shortlisted for interview if they can demonstrate that they meet all the essential requirements.

  • Well-developed interpersonal and communication skills with a wide range of people including face-to-face, telephone and written communication skills. Including the processes for dealing with varied information with a range of audiences
  • Experience of working with, and within, a team of staff to contribute to its development with suggestions for new ways of working
  • Experience of working on your own and using your initiative to adhere to timescales and deadlines
  • Knowledge of the types of applications, systems and IT programmes that may be utilised by the service and being able to accurately record and retrieve information
  • Experience and understanding of the importance of providing excellent customer services and experience of dealing positively with challenging situations

  • A good understanding of music and musical instruments, particularly those that are taught in schools

  • Ability to drive and a willingness to drive a council fleet van
