Job Overview

An exciting opportunity has arisen for a Support Secretary within the Vascular Team based at Ysbyty Gwynedd.

The post holder will provide an accurate, confidential, and supportive administration service for patients, clinical teams, carers, and internal and external agencies, supporting the provision of a safe and efficient patient pathway and providing information and appropriate support to patients.

Main duties of the job

The post holder will provide an efficient, high-quality typing, and administration service to support the vascular team. Support the team in the management of patients’ medical case notes and effective filing system and support the patients along the defined patient pathway.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

EXPERIENCE

Essential criteria

  • Knowledge of a range of administrative processes.
  • Ability to communicate professionally and effectively with all levels of staff both verbally and in writing.
  • Excellent Customer Service skills.
  • Flexible and adaptable to changing service demands.
  • Ability to meet deadlines.
  • Good organisational skills.

Desirable criteria

  • Proficient in use of Microsoft Office applications.
  • Experience of using patient administration systems.
  • Experience of organising meetings/activity.

KNOWLEDGE

Essential Criteria

  • Ability to work to established policies, service level agreements, and key performance indicators.
  • Evidence of continual personal development.
  • Knowledge of secretarial role including progress chasing.

QUALIFICATIONS

Essential criteria

  • Good standard of general education/(GCSE maths and English at grade D) and above or equivalent.
  • NVQ level 3 or equivalent knowledge and experience or willing to work towards.
  • L2 RSA/OCR or equivalent experience.

Desirable criteria

  • IT-related qualification.
  • NVQ Customer Service L2.
  • L2 Medical terminology.
  • Statutory and Mandatory training as per Health Board policy.
