Support Secretary
We are seeking a highly motivated and enthusiastic Support Secretary who can provide excellent secretarial and administration skills to join our dedicated Secretarial Team within the Community Paediatric Service.
Role Overview
The role involves supporting a team of Consultants and other health professionals. You should have excellent audio typing skills and experience (preferably within an NHS setting) and be computer literate with a broad experience of Microsoft Office packages. You will need to be highly organised with a flexible approach to your work and have excellent communication and team working skills. You will need to be self-motivated to manage your own working time effectively.
Responsibilities
- Provide professional, comprehensive, and confidential administrative support to relevant health professionals and their team.
- Typing and formatting of correspondence, clinical letters, reports, and policies from handwritten, dictated, paper, or electronic information in line with Trust corporate guidelines.
- Work collaboratively with other administrative colleagues and support staff.
- Audio-typing, copy typing, and formatting of clinical letters and reports where follow up actions are required; meeting timescales as directed by your line manager.
- Take minutes of meetings, type, and distribute to all members of staff.
- Word processing, which may include letters, memos, notes, record cards, messages, and email communication.
- Collate, provide, receive, and appropriately store (manually and electronically) sensitive and confidential information.
- Maintain administrative systems set up in team offices to ensure an organized and efficient working environment for staff.
- Assist with the booking of team training and maintain local training records.
- Undertake reception duties if required.
- Attend meetings, training, and briefing sessions appropriate to either your job-specific role or as a staff member of the Trust.
