Summary
Join Bardney Surgery as a Surgery Reception Administrator Apprentice, supporting the reception team within a busy NHS GP practice. You’ll develop administration and customer service skills while welcoming patients, handling enquiries, booking appointments and helping the surgery run smoothly.
Wage: £10,400 for your first year, then could increase depending on your age

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
- Welcome patients and visitors to the surgery in a friendly, professional and respectful manner
- Provide reception and administrative support to patients, GPs, nurses and the wider practice team
- Answer incoming telephone calls, take accurate messages and deal with routine enquiries appropriately
- Use AskmyGP to add on patients requests and to monitor this.
- Book, amend and cancel patient appointments using the practice booking system
- Support patients with queries about appointments, services and practice procedures, escalating more complex or sensitive enquiries when required
- Register new patients and maintain accurate patient records in line with practice procedures
- Update patient information, ensuring records are accurate, complete and kept up to date
- Assist with repeat prescription requests and direct medication-related queries to the appropriate member of the clinical team
- Handle confidential and sensitive patient information in accordance with NHS policies, GDPR and practice procedures
- Maintain a high level of confidentiality when dealing with patients, colleagues and medical information
- Carry out routine data entry and administrative tasks using computer systems and Microsoft Office applications
- Sort and distribute incoming post and prepare outgoing correspondence
- Support the practice team with general administrative duties, including photocopying, scanning, filing and maintaining records
- Liaise with external organisations and healthcare providers when required, following appropriate procedures
- Monitor shared inboxes and administrative systems, responding to or allocating enquiries appropriately
- Assist with maintaining appointment availability and supporting the efficient use of clinical diaries
- Follow practice procedures for safeguarding, information governance, infection control, health and safety, equality and diversity
- Recognise when a patient enquiry may require urgent attention and follow the appropriate practice procedures, seeking guidance from experienced colleagues
- Deal calmly and professionally with patients who may be upset, worried or frustrated, while maintaining appropriate professional boundaries
- Develop effective communication skills when dealing with patients and colleagues face to face, by telephone and in writing
- Organise and prioritise daily tasks to ensure administrative work is completed accurately and within required timescales
- Support the smooth running of the reception area, ensuring it is welcoming, organised and appropriately stocked
- Attend team meetings, training sessions and supervision as required
- Work towards and complete the Level 2 Administration Assistant Apprenticeship, applying learning and developing administrative skills within the practice
- Take responsibility for own learning and development, responding positively to feedback and identifying opportunities to improve administrative skills

What you'll learn
- Receive, retrieve, process, record and store information and data.
- Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
- Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
- Handle and communicate information in line with organisational policies, procedures and security requirements.
- Recognise and rectify issues and escalate as required.
- For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
- Plan and review administration tasks allocated by supervisor.
- Maintain professional relationships with stakeholders.
- Monitor and report on the use of resources such as materials, equipment and supplies.
- Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
- Source information as requested by stakeholders, ensuring they are shareable.

Training schedule
Level 2 Administration Assistant
A bespoke programme of technical and vocational training
Functional skills in maths and English *if applicable
The successful candidate will be assigned a dedicated work-based trainer who will provide support and guidance throughout the course. This apprenticeship is delivered wholly in the workplace; the successful candidate will not need to attend any weekly sessions at the Grimsby Institute unless maths or English is required as part of the apprenticeship.
