Role Overview

You will be the coordination hub for our surveying operation, aligning Surveyor diaries with lender and client needs to ensure inspections are scheduled accurately, efficiently, and professionally. By managing inbound and outbound communications, you will provide clear timelines, set expectations, and keep all parties informed from instruction to report delivery.

Your role directly underpins our service delivery, revenue flow, and client satisfaction. You will use systems and process discipline to reduce friction, resolve scheduling challenges quickly, and maintain a reliable flow of inspections that enables our Surveyors to focus on technical work and our clients to receive timely, high-quality service.

ROLE EXPECTATIONS

Most days you will orchestrate complex diaries, triage, and respond to emails and calls from lenders, clients, and Surveyors, and translate instructions into confirmed appointments. You will update systems in real time, follow agreed workflows and SLAs, and proactively remove obstacles so inspections and reports progress without delay.

What Success Looks Like

  • Surveyor diaries are consistently optimised, with minimal gaps, efficient routing, and on-time appointments.
  • Clients and lenders receive prompt, accurate updates, with queries resolved at first contact wherever possible.
  • Instructions are converted to confirmed inspection slots quickly, supporting predictable revenue and turnaround times.
  • Data in core systems is complete, accurate, and audit-ready, with clear notes and status at every stage.
  • Scheduling risks are identified early and mitigated through options, contingency planning, and decisive communication.
  • Service levels and turnaround KPIs are met or exceeded month after month.

  • Coordinating Surveyor diaries and scheduling inspections based on geography, availability, and priority.
  • Handling inbound calls and emails from lenders, clients, and Surveyors, providing clear, timely information.

Experience That Helps

  • Scheduling, coordination, or operations administration within property, surveying, valuations, or field-based services.
  • Working with CRM or job management platforms, diary tools, and shared inboxes in a multi-stakeholder setting.
  • High-volume customer or lender communications, balancing empathy with clear, outcome-driven messaging.
  • Managing SLAs, turnaround targets, and capacity constraints while maintaining excellent data hygiene.
  • Understanding of UK residential property terminology, instruction-to-report workflows, and GDPR best practice.
