Sustainability Governance Assistant
We are looking for a Sustainability Governance Assistant to provide practical support across sustainability systems, governance, assurance and reporting.
Reporting to the Sustainability Manager – Systems Development, you will help maintain accurate records, controlled information and routine processes, ensuring the Sustainability function operates consistently and effectively.
Key Responsibilities
- Maintain sustainability systems, iGMS content and SharePoint sites, including folders, metadata, permissions and access.
- Complete routine data uploads, quality checks and reporting, ensuring information is accurate, complete and up to date.
- Provide first-line support for routine system, access, template and data queries, maintaining user guidance and FAQs.
- Maintain governance trackers, registers and controlled documents, including version control, review dates and approval records.
- Support governance meetings through agendas, meeting packs, action logs and follow-up, escalating overdue actions and exceptions where required.
- Maintain audit-ready evidence libraries and complete routine assurance and completeness checks.
- Support document migration, process mapping, user acceptance testing and system changes, maintaining relevant trackers and records.
- Maintain process maps, procedures, training materials and change logs, supporting implementation and adoption.
- Work collaboratively across functions while handling information appropriately and maintaining confidentiality.

Skills & Experience
- Competent Microsoft 365 user, particularly SharePoint, Teams, Word and Excel, with the ability to learn new systems and follow controlled workflows.
- Experience in administration or coordination within systems, quality, governance, sustainability, compliance, project controls or a similar environment.
- Strong attention to detail, with experience maintaining structured data, registers, document control and reliable audit trails.
- Excellent organisation and prioritisation skills, with the ability to manage multiple workstreams and recurring deadlines.
- Clear written and verbal communication skills, including confidence following up actions with colleagues at different levels.
- A methodical, improvement-focused approach and good judgement around when to escalate issues.
Desirable
- Experience with iGMS or another management system.
- Familiarity with basic process mapping and user acceptance testing.
- Awareness of sustainability management systems, ISO 14001, PAS 2080 or assurance principles.
