Role Summary

We are seeking a highly organised and analytical Systems Administrator to support the efficient operation of our Plant & Fleet function. The primary focus of this role will be the administration, optimisation, and ongoing management of the Samsara Fleet Tracking platform, ensuring accurate fleet data, regulatory compliance, and effective reporting across the business.

The successful candidate will play a key role in maintaining fleet systems, producing management information and analytics, supporting operational teams, and ensuring compliance with GDPR and other relevant legislation. Strong communication skills are essential, as the role requires collaboration with drivers, managers, suppliers, and various internal departments.

Key Responsibilities

  • Fleet Systems Administration:
    • Act as the primary administrator for the Samsara Fleet Tracking platform.
    • Monitor the day-to-day performance and functionality of Samsara to ensure smooth operation across the fleet.
    • Manage user accounts, permissions, vehicle profiles, and system configurations.
    • Troubleshoot system issues and liaise with Samsara support when required.
    • Ensure GPS tracking devices and associated technologies are operating correctly.
    • Support the rollout of new fleet technologies and system enhancements.
  • Data Management and Analytics:
    • Produce regular fleet performance reports and dashboards.
    • Analyse vehicle utilisation, driver behaviour, fuel consumption, idling, route efficiency, and compliance metrics.
    • Identify trends and opportunities for operational improvements and cost savings.
    • Ensure fleet data integrity, accuracy, and completeness.
    • Provide meaningful insights to support management decision-making.
  • Compliance and GDPR:
    • Ensure fleet data is managed in accordance with GDPR requirements and company policies.
    • Maintain appropriate controls around access to personal and operational data.
    • Support audits and compliance reviews relating to fleet systems and data management.
    • Monitor and report on fleet compliance requirements, including vehicle inspections, maintenance schedules, and driver-related records.
  • Stakeholder Support and Communication:
    • Act as the key point of contact for Samsara-related queries across the business.
    • Provide training and guidance to users on fleet tracking systems and reporting tools.
    • Communicate effectively with operational teams, drivers, management, and external suppliers.
    • Prepare reports and presentations for management meetings when required.
  • Continuous Improvement:
    • Review existing processes and recommend improvements to enhance efficiency and user experience.
    • Stay up to date with developments in fleet technology, telematics, compliance requirements, and industry best practices.
    • Support wider Plant & Fleet administration activities as required.

Essential:

  • Previous experience in a Systems Administrator, Fleet Administrator, Fleet Systems, or similar role.
  • Strong understanding of GDPR and data protection principles.
  • Advanced analytical and reporting skills.
  • Excellent communication and stakeholder management abilities.
  • Strong attention to detail and data accuracy.
  • Proficiency in Microsoft Excel and Microsoft Office applications.
  • Ability to manage multiple priorities and work independently.

Desirable:

  • Experience within a Plant, Fleet, Transport, Logistics, or Construction environment.
  • Knowledge of vehicle compliance and fleet management processes.
  • Experience administering fleet management or telematics systems, ideally Samsara.
  • Experience creating dashboards using Power BI or similar reporting tools.
  • Understanding of telematics, GPS tracking, and fleet optimisation technologies.
