We are seeking an ambitious and dedicated individual to join our Property team in the role of Systems and Records Manager.

This is a key role, responsible for leading on the development and management of all the systems and records for Property, driving culture change and continuous improvement in order to support the successful delivery of the enterprising vision.

About The Role

Reporting to the Principal Asset Management Officer, you will:

  • Develop property systems that are “fit for purpose.” These solutions should improve the delivery of the new model of service delivery in Property. Review and integrate the data systems to support the service delivery by using specialist property knowledge, and make recommendations, having identified problems, trends and ultimately service improvement.
  • Lead on the development of a single point of contact for Property on data related matters, delivering an improved customer experience and efficiencies. Ensure that all enquiries and requests for work are dealt with through the improved system management.
  • Review and make recommendations on the Asset Management system, which holds all the key land and buildings data, and is used for multiple purposes. This will include playing a key client-side role in the procurement, development, implementation and ongoing management of the Council’s proposed replacement property asset management software solution.
  • Review and make recommendations on the property records kept in EDRM/SharePoint, to align with the processes and procedures developed in Property to deliver the operating model.
  • Review the records management of property data, and, working closely with all Property Heads of Service, extended management team, partners and stakeholders, ensure the integrity of both property data and finance systems for the Council.
  • Develop and maintain a manual for the management of property data and financial information, ensuring that following the review of the property data management and information, a manual is developed and training and guidance is given to staff and stakeholders. Seek advice and approval from audit in the development of the manual.
  • Lead on informing external service providers on information and data management requirements and provision.

You will be a committed and motivated individual with proven experience of managing property and asset management systems and databases for a large organisation.

We are looking for:

  • Experience of working in a property related setting and working with property related data
  • Experience of delivering change projects
  • Experience of documenting processes and procedures for service delivery
  • Excellent knowledge of current best practice for data management
  • Excellent understanding of data management principles and their application for the service

Qualifications

Degree or equivalent or recognised qualification in a relevant discipline.
