Job Description
About the Role
We are looking for an organised and proactive Systems Coordinator to support the maintenance, administration and continual improvement of our Safety and Environmental Management Systems.
Working within a complex shipbuilding and engineering environment, you will play an important role in ensuring our ISO 14001 Environmental Management System and ISO 45001 Occupational Health & Safety Management System remain effective, compliant and audit-ready.
This is an excellent opportunity for someone with experience in HSE, Quality or Integrated Management Systems who is looking to further develop their career within a highly regulated and safety-critical industry. You will work closely with the Systems Lead and wider HSEQ team, supporting audits, compliance activities, document control and continuous improvement initiatives across the business.
Key Responsibilities
Management System Coordination
- Support the maintenance and continual improvement of the organisation's ISO 14001 and ISO 45001 management systems.
- Maintain management system documentation, including procedures, processes, records and controlled forms.
- Ensure documents are reviewed, approved and communicated in line with document control requirements.
- Maintain key management system registers, including:
- Legal and compliance obligations
- Environmental aspects and impacts
- Health and safety hazards and risks
- Objectives and improvement plans
- Audit findings and corrective actions
- Support the Systems Lead in ensuring management system requirements are effectively implemented across the business.
Audit & Compliance Support
- Assist with planning and coordinating internal audit programmes.
- Prepare audit schedules, documentation and evidence packs.
- Participate in audits, inspections and assurance activities.
- Record audit findings and improvement opportunities.
- Track corrective and preventive actions through to completion.
- Support preparation for external certification audits, customer audits and assurance visits.

Continuous Improvement
- Assist in monitoring changes to legislation, standards and industry best practice.
- Support reviews of compliance obligations and associated records.
- Collect and analyse management system performance data including:
- Audit results
- Environmental performance indicators
- Incident and near-miss trends
- Improvement actions
- Compliance metrics
- Support the implementation of system improvements identified through audits, reviews and operational feedback.
- Promote awareness and understanding of ISO 14001 and ISO 45001 requirements throughout the organisation.
Operational Support
- Provide day-to-day support to operational teams implementing management system requirements.
- Coordinate management system activities across production, engineering, project and support functions.
- Assist with environmental controls, health and safety processes and compliance initiatives.
- Prepare reports, presentations and management information.
- Provide guidance on management system processes and documentation within agreed levels of competence.
Document Control & Reporting
- Maintain accurate and up-to-date management system records.
- Ensure document control processes are followed and obsolete documentation is removed from circulation.
- Maintain action trackers and monitor progress against deadlines.
- Assist with management review preparation and performance reporting.
- Ensure records are retained and managed in accordance with company requirements.
Training & Awareness
- Support the coordination and administration of HSE training and competency records.
- Assist in delivering management system awareness sessions where required.
- Promote employee understanding of ISO 14001 and ISO 45001 responsibilities.
- Encourage positive safety and environmental behaviours across the workplace.
About You
Essential Experience
- Experience working within a Health & Safety, Environmental, Quality or Integrated Management Systems environment.
- Working knowledge of management system principles, particularly:
- ISO 14001:2015 Environmental Management Systems
- ISO 45001:2018 Occupational Health & Safety Management Systems
- Experience supporting audits, compliance activities, inspections or improvement programmes.
- Experience with document control and management system administration.
- Strong organisational skills with the ability to manage multiple priorities.
- Good communication and stakeholder engagement skills.
- Competent in Microsoft Office and management system software platforms.

Qualifications
Essential Qualifications
- Recognised Health & Safety qualification, such as NEBOSH Certificate or equivalent.
- ISO 14001 and ISO 45001 awareness training or equivalent qualifications.
Desirable
- Internal Auditor qualification in:
- ISO 14001
- ISO 45001
- NEBOSH Diploma (or currently working towards).
- Environmental management qualifications.
- Membership of a professional body such as:
- IOSH
- IEMA
- Experience within shipbuilding, engineering, manufacturing, marine or other regulated industries.
